Departmental Technician II -- Academic Advising Resource Center

  • The Academic Advising Resource Center (AARC)/Office of the Registrar at Oberlin College and Conservatory invites applications for the position of Departmental Technician II. This is a full-time, 37.5 hours per week, continuing, 12-month Departmental Technician position reporting to the Manager of Advising Outreach and Operations. The incumbent will collaborate closely with the AARC team and work with academic departments, the College and Conservatory deans’ offices, the Center for Information Technology, and other campus offices.

    This position requires comfort and proficiency with data, systems, and software applications; strong communication and interpersonal skills; critical thinking; exemplary organizational skills and attention to detail; resourcefulness and problem-solving skills; and the ability to adapt and demonstrate a nimble approach to completing work.

    Responsibilities
    The incumbent will have general responsibility for technical and administrative aspects of the advising system, academic standing, and academic processes administered by the AARC. The incumbent will support event planning, programs, and communications and provide information to students, advisors, faculty, staff, and third parties on a wide range of academic issues. In the summer months, the incumbent will also assist academic departments and faculty with schedule and course updates.

    Essential Job Functions
    Advising and Academic Standing
    • Maintain a comprehensive list of advisors and advising loads
    • Assist with assigning advisors to new students and assist students, faculty, and departments with identifying a new advisor when needed
    • Coordinate the advisor training process, including training times, invitations, record keeping
    • Assist with identifying students who have academic standing sanctions, maintain academic standing records, and prepare reports for the academic standing committee and the Dean of the College of Arts and Sciences
    • Coordinate academic standing notifications and the return and appeal process for academic standing


    Academic Processes
    • Develop and maintain an understanding of the student information system (Banner), components of software applications used to support advising (e.g. OnBase, Degree Works, Engage), and the interrelationships between student data and systems
    • Update and maintain student records related to processes such as course underloads, overloads, incompletes, and final exam time change requests
    • Process leaves, suspensions, and withdrawals and notify campus offices of student departures
    • Utilize OnBase to review and process forms within workflow queues and scan and index forms
    • Support the development and maintenance of OnBase workflows
    • Prepare reports and analyze data using Excel and Argos reporting tool

    Event Planning and Program Support
    • Assist with the coordination and set up of in-person and virtual events that are part of admissions programming and orientation, including department open houses, academic fairs, webinars, and advising sessions
    • Provide logistical and administrative support for the Peer Advising Leaders (PAL) Program
    • Assist with coordinating events for advisors and students

    Communications
    • Assist with managing communications to students, advisors, and instructors through the Engage CRM and other platforms
    • Assist with maintaining the office’s website and the advising appointment calendar
    • Assist with maintaining and updating electronic and print forms

    Curriculum Management (Summer Months Only)
    • For departments without summer administrative assistant support, assist faculty and chairs with submitting requests for updates, including creating new courses and making changes to existing sections

    Academic Policies and Procedures
    • Develop and maintain a thorough understanding of processes across areas of the AARC/Office of the Registrar; academic policies; and academic calendar deadlines
    • Interpret, apply, and convey academic policies and procedures to students, staff, faculty, and third parties
    • Assist students, faculty, staff, and parents/guardians with questions regarding academic regulations, procedures, and software systems
    • Adhere to all federal regulations as they apply to academic records, including FERPA (Family Educational Rights and Privacy Act), and exercise judgment and a heightened sense of ethics as it relates to student records


    Marginal Job Functions
    • Assist with special projects
    • Keep up to date with new and existing software systems and technology
    • Assume the duties of other office personnel in their absence
    • Assist with Orientation, All Roads, and Commencement activities
    • Other related duties as assigned


    Required Qualifications
    • College degree or equivalent combination of experience and education
    • 5-7 years of progressively responsible secretarial, clerical, or para-professional work experience
    • Excellent oral, written, and interpersonal communication skills
    • Excellent organizational skills and attention to detail
    • Demonstrated ability to work independently on multiple complex projects simultaneously and prioritize duties
    • Strong customer service orientation, including experience resolving challenging situations
    • Demonstrated experience thinking critically and analytically and utilizing resources to address issues and questions
    • Experience working effectively with people from different backgrounds, including those associated with race, ethnicity, international origin, religion, socioeconomic status, age, gender, disability, sexuality, and other aspects of human diversity
    • Experience and comfort working in a high-volume, fast-paced, and deadline-based environment amidst interruptions and adapting to changing conditions, procedures, and practices
    • Experience with software applications including spreadsheets and word processing; ability to learn new technology and software; typing speed of 50 WPM with emphasis on accuracy

    Desired Qualifications
    • Bachelor’s degree
    • One year of relevant higher education work experience (e.g. academic department, student records, student services, financial aid, admissions)
    • Experience with the student records module of the Banner administrative software package


    Compensation
    The Pay Grade 7 Departmental Technician position is to be filled at an hourly rate of $28.31or at the appropriate transfer rate for internal candidates and includes an excellent benefits package.
