    Our organization is looking for an organized, outgoing Executive Assistant. In this position, you will assist with a variety of clerical and administrative duties. These tasks include but are not limited to, greeting clients, answering phones, taking messages, managing email and mail correspondence, and calendaring. You may also assist with updating client files. Since you will be the first point of contact for the Sellin Advisor Group, we are looking for an individual who can maintain a professional appearance and demeanor at all times.

    Duties and Responsibilities (include but not limited to):

    • Answer phones and take messages
    • Respond to emails
    • Manage mail correspondence
    • Greet clients and visitors
    • Help maintain office calendar
    • Perform data entry and filing tasks
    • Manage inventory of office supplies and report to Office Manager
    • Perform other clerical tasks as needed
    • Professionally answer the main telephone line, screen and direct calls. Monitor main line voice messages.
    • Meet and greet visitors as they arrive; advise appropriate staff member.
    • Receive and distribute deliveries, incoming USPS mail, posting and delivery of outgoing mail daily.
    • Manage phone system, including adding new lines, updating staff directory, special features and requests. Program phones for special greetings, including holidays or non-business hour greetings.
    • Assist with admin travel, attending events, providing registration support as necessary. Other duties as assigned.

    Requirements/ Qualifications / Skills:

    • High school diploma or GED certificate
    • At least 2 years administrative or clerical experience required
    • Experience in the Insurance industry is a plus
    • Computer proficiency
    • Organizational and time management skills
    • Basic math skills
    • Calm and professional appearance
    • Great “go getter” attitude
    • Professional demeanor and excellent customer service abilities required.
    • Excellent skills in the areas of organization, attention to detail, time management, ability to manage multiple tasks, define and set priorities and problem solve.
    • Ability to take initiative with projects to work both independently and as a team member.
    • Excellent verbal and written communication skills. Proficiency in Microsoft Office (Outlook, Word, Excel).
    • Proficiency in ClickUp is a plus

    The Executive Assistant will serve as the company’s receptionist and provide administrative support to the Admin Department, as well as other departments when needed. S/he will provide excellent customer service while maintaining discretion and confidentiality.

    This position reports to the Executive and the Office Manager.

    Base Wage: $18-$20 /hour depending on experience.
