    Job Description
    The Academic Support Coordinator will perform all administrative duties associated with the Biology Department graduate program, the Neuroscience PhD concentration and the Biotechnology MS and BS/MS programs. This includes supporting faculty in the areas of: recruiting, managing and processing graduate applications, graduate progress and degree applications and video recording in-person seminars. The coordinator also enters curriculum and program changes into university systems.

    This position will also provide support for graduate recruitment and education committees and assist with recruitment events including setting up video interviews and troubleshooting any technological issues that arise for the graduate recruitment committee during these interviews.

    This position will meet with incoming and current graduate students to provide information on program requirements and course offerings, as well as provide support via email and phone.

    This position will also provide back-up coverage for the department’s undergraduate support coordinator and help with other departmental administrative tasks as needed.

    This is a student facing role so must be present in the office to provide services to campus constituents.

    Qualifications
    Associate’s degree or equivalent preferred plus 2-4 years relevant work experience in academic setting.

    Job Specific Qualifications
    • Experience with Microsoft Office software for word processing and spreadsheets as well as PeopleSoft software and Curriculog, used by the University for class scheduling/academic records, and OnBase for graduate application processing and degree monitoring.
    • Management and communication skills to work effectively with faculty, staff, and students to complete various complex tasks effecting degree programs, academic program, and course offerings.

    Responsibilities
    • Manage class scheduling, enrollment, final exam scheduling, classroom assignments, student data inquiries and other miscellaneous academic-related issues for the Department.
    • Confer with Student Records, CAS Dean’s Office, Registrar Office, Graduate School and University Senate to clarify all curricular issues, changes and updates.
    • Liaison with other schools/colleges with regard to curricular changes impacting requirements.
    • Maintain and organize Departmental student-related data including academic and enrollment statistics.
    • Assist Department Chair, Program Directors and Faculty with confirmation of classes each semester (including summer), verifying accurate posting of course-related information to MySlice.
    • Work with staff from other departments to eliminate conflicts among required courses.
    • Be present in the office to provide services to campus constituents.
    • Responsible for performing various administrative duties for prospective and current undergraduate and graduate students, and supporting departmental student groups and organizations.
    • Answer student inquiries, provide statistical information.
    • Maintain accurate student records, ensuring that degree requirements are met.
    • Maintain documents and procedures for undergraduate and graduate students.
    • Assist Chair with the management of advisor assignments, TA assignments, undergraduate certifications and audits.
    • Coordinate communications with student groups.
    • Maintain knowledge of and provide support to faculty, staff and students for PeopleSoft, MySlice, OnBase, Blackboard, and class scheduling/class enrollment/curriculum procedures.
    • Provide back-up assistance for front desk-reception, and other staff duties as needed.
    • Other duties as assigned.
