Being an Accounting Clerk assists in completing moderately complex calculations using spreadsheets and other software tools. Reconciles accounts and bank statements. Additionally, Accounting Clerk has a basic understanding of bookkeeping and accounting principles. Requires a high school diploma or equivalent. Typically reports to a supervisor. The Accounting Clerk works under the close direction of senior personnel in the functional area. Possesses a moderate understanding of general aspects of the job.   • JOB SUMMARY

    The Accounting Clerk - Receivables is a full-time or part-time position for an individual to engage in accounting and office tasks. This position requires the individual to preform daily and recurring accounting duties including but not limited to the Essential Functions outlined below. The Accounting Clerk position is an essential role in ROME’s administrative department.


    ESSENTIAL FUNCTIONS:

    • Prepare and record all customer invoicing in ROME’s accounting software.
    • Develop, compile, and disseminate non-managed care customer invoices.
    • Prepare manual invoices and expense reports (for funding agencies) using Excel and Adobe.
    • Record remittances, donations, and receipts in Great Plains, including making necessary inquiries and research to identify source and purpose of receipts.
    • Manage outstanding receivables, including but not limited to requesting payment status’, providing customer statements, and reconciling remittances.
    • Assist with monthly A/R reconciliations.
    • Maintain ancillary workpapers and files for a host of purposes.
    • Assist with maintaining data in grant software.
    • Completing assigned tasks timely with accuracy and completeness is essential.
    • Maintain a positive, cooperative, and respectful attitude with all people and agencies at all times without exception is required.
    • Provide recommendations for process improvement and bring concerns to supervisors. Work as a team for the team at all times.
    • Acquire and maintain proficiency in Microsoft Office, Outlook, Adobe, Excel, and Great Plains sufficient to complete assigned tasks with little or no supervision.
    • Acquire and maintain a proficiency in Foothold (EHR), and Innovalon (clearing house) sufficient to assist the billing team and ensure collaborative work with the billing team.
    • Operates office equipment including but not limited to computers, faxes, scanners, and copiers.


    ADDITIONAL RESPONSIBILITIES:

    • Cross training is required to assist with Accounts Payable, Managed Care Billing, and General Ledger maintenance.
    • Performs other duties as assigned.

    Works from general objectives (such as governmental and agency compliance standards) and broad and varying policies, procedures, rules or precedents with significant functional guidance. Refers specific cases to manager for clarification or interpretation. Review by manager focuses on achievement of the objective and not necessarily on the means, except when required to ensure compliance with regulations.


    TECHNOLOGY, EQUIPMENT OR TOOLS:

    Intermediate to Advanced skills in Microsoft Office including Excel, Word, Publisher and Outlook. Evidence of skills demonstrated by the ability to perform all the basic functions within each program; including but not limited to maintaining a calendar, sending e-mail, creating letters as well as the ability to create and edit workbooks; including but not limited to creation of formulas, tables and graphs. Must also be proficient in utilizing various computer systems. General office equipment is used including fax/copy/scanning machine, computer and phone system.


    PHYSICAL DEMANDS
    AND WORK ENVIRONMENT:

    Work follows established practices and operating procedures with some latitude for independent judgment. Maintains strict visual contact with work up to 100% of the time. May occasionally lift to (35) thirty-five pounds, without mechanical assistance. Work involves sitting, standing, driving, climbing stairs and ambulating from task to task. The noise level in the work environment is usually light.


    EDUCATION & EXPERIENCE:

    • Associates Degree in Business Administration or Accounting with a minimum of two years’ experience or equivalent combination of education and experience.

    Or

    • A minimum of four years’ accounting experience


    KNOWLEDGE, SKILLS & ABILITIES:

    • Must possess the ability to work in a collaborative manner as a member of a team; be willing and able to take direction; and be willing to share knowledge and technical skills.
    • Acquire and maintain a working knowledge of the Agency and program operations.
    • Ability to establish and maintain effective relationships with staff, management, and the general public.
    • Proficiency and demonstrated knowledge and skills in Outlook, Word, Excel, Adobe, EHR software, accounting programs, and web-based worksites and portals.
    • Ability to work independently.
    • Understanding of confidentiality in all matters, especially HIPAA laws and requirements.
    • Demonstrate good organizational skills.
    • Ability to touch type and 10-key by touch
    • Willingness to continuously learn and develop skills as they pertain to the needs of the agency and the position.
