Accounting  

Invoice Processing and Record Keeping: 

• Ensure timely and accurate processing of all invoices. 
• Verify that invoices match completed purchase orders in Builder Trend. 
• Create Purchase Orders in Builder Trend as needed.  
• Manage accounts receivable aging reports. 

Project Cost Tracking: 

• Track project costs and prepare job cost reports in Builder Trend. 
• Alert management of any cost overages. 
• Manage accounts payable aging reports and take advantage of early payment discounts.

Financial Statements: 

• Generate regular financial statements such as P&L, balance sheet, and cash flow reports. Speak directly and solutions to outside CPA Firm  

Process Optimization: 

• Streamline processes through the implementation of appropriate software tools and automation. 

Record Keeping: 

• Maintain orderly records and files. 
• Maintain a master spreadsheet with each project's job addresses, start dates, expected invoice due dates, and deposit dates. 

Invoice Reminders and Communication: 

• Set up invoice reminders and contact each Project Manager individually to inquire about outstanding invoices. 
• Document responses and reasons for any delays. 
• Summarize discussions in emails and reinforce the importance of prompt invoicing.

WIP Reports for Bonding Company: 

• Update Work in Progress (WIP) reports monthly for the bonding company. 

QuickBooks Reconciliation: 

• Ensure the accuracy of reconciliation reports in QuickBooks. 
• Verify deposits match invoices and ensure all payments are recorded. 

Automation and Digital Workflows: 

• Automate processes, including reminders, reconciliation reports, and digital approval workflows. 

Process Checks and Training: 

• Process checks as required. 
• Learn and train the team on the Builder Trend Wallet process. 

Internal Audits and Continuous Improvement: 

• Conduct periodic internal audits to identify errors or potential issues. 
• Provide recommendations for continual improvement of accounting procedures and controls.
