Accounting Assistant Position

Position Summary and Mission
Unique opportunity! You have the chance to join a long-standing family owned business. The Accounting Assistant plays a key role in processing payrolls and accounts payable checks to suppliers. Candidates should have strong teamwork skills and a desire to jump in and learn quickly. Pay will be based on experience.

Summary of Key Responsibilities

PAYROLL

• Weekly processing of payrolls for multiple companies
• Entry of employee time from timecards into Excel spreadsheet and then into Sage 100 payroll software for processing
• Process ACH deposits for weekly payroll
• Process federal and state tax deposits
• Process weekly and monthly 401K deposits
• Monthly and quarterly processing of payroll taxes for multiple states
• Maintain employee wage and tax information in payroll software
• Manage employee hourly wage increases based upon days employed
• Manage employee vacation and medical time off accruals
• Process quarterly MSHA reports for multiple entities

HUMAN RESOURCES

• Assist employees in enrolling in both health insurance and 401(k) programs.
• Maintain current employee files
• Assist with onboarding new employees
• Be available to help employees understand health insurance statements
• Assist employees with proper 401(k) paperwork
• Assist with open enrollment of insurance and 401(k) program

ACCOUNTS PAYABLE

• Accounts payable process includes multiple entities
• Compare invoices received to open purchase orders
• Code invoices for processing with vendor, month, due date, and inventory or expense account number
• Enter invoices into Sage 100 software once invoices are approved for payment
• Print checks and initiate ACH payments when invoices are due
• Reconcile company credit cards and expense reports for payment
• Reconcile monthly vendor statement against invoices received
• Manage credit cards issued to employees

OTHER DUTIES

• Process credit applications for potential new customers
• Remote deposit of customer payments via remote capture system

Education/Experience Requirements

• High school equivalency is required
• At least two years of college coursework is preferred
• Must be proficient at communicating in English (verbal and in writing)
• Must be organized
• Must be proficient with technology
• Must have basic financial statement knowledge
• Must have 1-2 years of accounting experience
• Basic knowledge of accounting principles and process is required
• Minimum 21 years of age
