Accounts Payable Clerk supports the day-to-day operational activities of an accounts payable department. Reviews purchase orders, statements, and invoices to verify amounts owed. Being an Accounts Payable Clerk records and processes payments for vendor invoices in accordance with internal accounting policies and oversees payment schedules. Maintains and reconciles accounts payable ledger to validate charges and ensure accurate and timely payments. Additionally, Accounts Payable Clerk responds to vendor inquiries and assists with the research of any discrepancies in billings and payments. May utilize accounting software and systems to manage invoices and payments. Requires a high school diploma. Typically reports to a supervisor. Basic Function: The Accounts Payable Clerk is responsible for processing the invoices for associations and ensuring timely payment to vendors without incurring late fees. The Accounts Payable Clerk reports directly to the Accounting Director.
Principal accountabilities are:
Accounts Payable duties
1. Sorting mail, dating and code stamping invoices and distributing to managers for approval.
2. Scan and attach invoices to VMS vouchers.
3. Issue checks for signatures and attach invoice copies.
4. Enter invoices into Strongroom, a third-party accounts payable processor.
5. Check exception list daily on bank’s website.
6. Update vendor address and other information.
7. Provide W-9s upon request.
8. Accept phone calls; research and resolve vendor disputes.
9. Assist managers, board members, and Accounting Director as needed.
10. Facilitate utility transfers and set up autopay plans.
11. Maintain signature cards and mailing address information.
12. Enter postage and printing costs in log.
13. Send Positive Pay reports to association’s bank.
14. Correspond with utility companies and other vendors by providing association authorization letters, management contract documentation, and account access authorization
Desired Qualifications:
The candidate should have a high school degree and some job related front line work experience requiring interaction with customers. Must have adequate interpersonal skills with the ability to deal with difficult customers under pressure. Attention to detail is required. Must be proficient in Microsoft Excel and Word.
Experience in business accounting software preferred.
Working Conditions:
Will work in an office environment at the main corporate office.
