Accounts Payable Manager manages accounts payable functions to ensure compliance with internal controls and accounting policies. Ensures timely payments of vendor invoices and expense vouchers and maintains accurate financial records and control reports. Being an Accounts Payable Manager routinely reviews applicable accounting reports to identify trends, inefficiencies, and opportunities for improvements or cost-savings. Reviews and evaluates the accounts payable register to ensure accuracy. Additionally, Accounts Payable Manager designs and implements standard policies and procedures to ensure accurate and compliant accounts payable records. Requires a bachelor's degree. Typically reports to a director. The Accounts Payable Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be an Accounts Payable Manager typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.     JOB DESCRIPTION

    Accounts Payable Associate

    The primary responsibility of this position is to provide daily management of vendor payables for approximately 5 branches of multi-branch HVACR wholesale/distributor. Vendor invoices are processed for payment by reviewing invoices, purchase orders, receiving documents and ship tickets for accuracy. This position reports directly to the Accounts Payable Manager and ultimately to the Accounting Manager and Chief Financial Officer.

    JOB DUTIES

    • Data entry and proofing. File and document review, management and reconciliation.
    • Review, organize and reconcile purchase orders, invoices, receiving documents, billing documents and ship tickets.
    • Identify, document, and review receiving discrepancies with warehouse management and vendor(s) for resolution.
    • Discuss, analyze and process special orders with branch sales team members.
    • Review and analyze costs and quantities prior to processing direct ship invoicing.
    • Proof filing system quarterly and annually.
    • Daily, monthly and annual balancing procedures.
    • Process and reconcile accounts payable in accordance with established procedures
    • Back-up various positions in the Accounting Department
    • All other duties as assigned.

    IDEAL JOB REQUIREMENTS

    Associates degree or college level curriculum in business, finance, accounting or related field a plus.

    • 3 years of experience in related accounting experience preferred.
    • Mandatory proficiency in meeting deadlines.
    • Strong organizational skills, accuracy and attention to detail are critical.
    • Strong independent worker who functions with a view toward team results and productivity.
    • A proactive approach to problem solving
    • Excellent interpersonal and communication skills, verbal and written.
    • Strong Microsoft Office knowledge and experience especially Excel and MS Word.
    • The ability to thrive in a fast paced environment and a willingness to learn and adapt.
