Accounts Payable Manager manages accounts payable functions to ensure compliance with internal controls and accounting policies. Ensures timely payments of vendor invoices and expense vouchers and maintains accurate financial records and control reports. POSITION SUMMARY:
The Accounts payable accountant is responsible for processing purchase orders and accounts
payable checks, reports, and all other accounts payable functions for operations and grants.
The position is considered a member of Group V of the North Haven Public Schools Support
Staff Union Contract and the current salary range would be $46,046 to $56,129.
ESSENTIAL DUTIES, FUNCTIONS AND RESPONSIBILITIES:
● Process purchase orders and invoices
● Input requisitions into MUNIS for purchases/annual contract and ensuring funds are
available prior to the purchase being made.
● Handling all AP mail and related paperwork including bills, and forwarding them to the
proper school for approval of expenditure.
● Enters all bills into the MUNIS system to prepare for payment.
● Periodically reviews open purchase order listing and outstanding invoices.
● Creates warrant requests for funds for the Town Hall, with all necessary back up
information including the journal entries created, and check register.
● Processing AP’s petty cash requests for each school and student services including
replenishment of funds and account reconciliation.
● Orders all central office supplies and places all Amazon orders for the District.
● Contact vendors regarding lost orders, proof of deliveries, credits, price changes, and
any other issues that rise as they relate to purchases.
● Provide support to school personnel regarding, processing of purchase orders,
placement and confirmation of orders, follow-up and answer any questions they may
have.
● Maintaining purchase orders, and invoice files for retention.
● Keeps Director of Business, Operations and Human Resources up to date on all
purchase order, invoice and accounts payable issues.
● Organize and prepare 1099 tax forms.
● Other assigned duties as requested by the Chief Operating Officer, Business Manager
or the Superintendent and Assistant Superintendent.
QUALIFICATION REQUIREMENTS:
To perform this job satisfactorily, an individual must be able to successfully perform the
essential functions of each duty described herein. The requirements listed below are
representative of the knowledge, skill, and/or ability required.
● Bachelor’s Degree in business or accounting preferred. Significant experience in a
school finance/accounts payable environment utilizing MUNIS Software can be
substituted for a college degree.
● Minimum of 3 years’ experience working in the accounts payable function within a
school setting required.
● Ability to work independently, to organize work, and to manage details.
● Ability to reason logically, draw valid conclusions, and make appropriate
recommendations.
● A thorough working knowledge of computers and business software including the
Google Suite as well as Microsoft Word and Excel are essential.
● The ability to keep confidential matters relating to personnel, students, administration
and all other data as found in a school office.
