Accounts Payable/Receivable Clerk supports the day-to-day operational activities of an organization's accounts receivable and accounts payable functions. Reviews purchase orders, statements, and invoices to verify amounts owed and records and processes payments for debts owed by the organization. Additionally, Accounts Payable/Receivable Clerk responds to customer or vendor inquiries regarding payments or billing and researches and resolves discrepancies. Maintains and reconciles accounts payable and receivable ledger accounts. Requires a high school diploma. Typically reports to a supervisor. The Accounts Payable/Receivable Clerk works under moderate supervision. Gaining or has attained full proficiency in a specific area of discipline.   • JOB SUMMARY 

    This entry-level accounting position works in the Accounts Payable/Disbursements section of Clerk’s Accounting. It enters, reviews and/or audits accounts payable vendor invoices, employee expense reimbursement requests, and court – related disbursements related to the Clerk’s role as Clerk of the Circuit Court.

    REPRESENTATIVE DUTIES 

    Note: The following duties are illustrative and not exhaustive. Depending on assigned area of responsibility, incumbents in the position may perform one or more of the activities described below. 

    • Reconciles accounting records.
    • Prepares accounting and fiscal reports, statements, and summaries.
    • Posts transactions and prepares journal entries.
    • Inspects, reviews and/or maintains complex accounting/financial documents in compliance with agency and/or departmental rules and procedures.
    • Performs audit review to ensure data entry accuracy of transactions.
    • Processes fund transfers through the bank’s web portal, OnBase and Oracle.
    • Provides training as requested.
    • Communicates with departments, management, or suppliers (vendors) as needed to resolve errors, requests, inquiries and concerns.
    • Uploads invoices and supporting documentation from OnBase queues and mailboxes.
    • Enters invoices and employee expense reports into Oracle Payables accurately and efficiently.
    • Matches invoices to purchase orders (PO) and receipts. Verify accounting strings.  Review PO’s, receipts and invoices in the Oracle Procurement Module.
    • Process direct payments. Verify signatures, backup documentation, and accounting strings.
    • Reviews court orders for disbursement of funds from trust and registry accounts; prepares necessary disbursement documents.
    • Completes payment transmittals to various state and local government agencies as required by Florida Statutes, Administrative Orders and County Ordinances.
    • Disburses funds from trust accounts.
    • Generate required reports from Odyssey, OnBase, Oracle and other systems to verify remittances, funds available, and reconciliation of accounts.
    • Performs reconciliation of trust and registry accounts prior to disbursement.
    • Provides timely assistance to customers and other departments as needed. 
    • Participates in team activities and department projects as requested. 
    • Cross trains with other teams in the department as permitted.
    • Performs other accounting duties as needed. 

    MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS 

     Graduation from High School or a GED certificate. *Experience and/or an Associate Degree or higher degree (in any field) is appreciated, but not required.

    STARTING SALARY: $17.88 hourly/ $37,192 annually

    PHYSICAL DEMANDS 

    The work is sedentary and requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects; may also require crouching, manual dexterity, hearing, kneeling, lifting, pulling, pushing, reaching, repetitive motion, speaking, standing, stooping, talking, visual acuity, and walking.

    JOB CLASS 

     Classified - An employee who is appointed to a full-time classified position (including reduced hour position) and not identified as an unclassified employee. Classified employees obtain appeal rights upon successful completion of their initial probation. 

     Unclassified – At-will Employees who serve at the pleasure of the Clerk and do not have appeal rights should they be demoted, suspended, or terminated.
