Accounts Receivable Supervisor is responsible for supervising and guiding operations in the accounts receivable function of an organization. Maintains and reconciles accounts receivable ledger to ensure accurate and timely receipt of payments. Being an Accounts Receivable Supervisor monitors collection period and sends follow-up inquiries regarding payments for the organization. Negotiates with past-due accounts to resolve all payment issues in a timely manner. Additionally, Accounts Receivable Supervisor implements standard operating procedures to ensure compliance with internal accounting policies and controls. Generates reports to bring insight into collections, account ages, and other relevant metrics and relays conclusions to management. Requires a bachelor's degree. Typically reports to a manager. The Accounts Receivable Supervisor supervises a small group of para-professional staff in an organization characterized by highly transactional or repetitive processes. Contributes to the development of processes and procedures. To be an Accounts Receivable Supervisor typically requires 3 years experience in the related area as an individual contributor. Accounts Receivable Technician

  • JOB SUMMARY: Accounts Receivable Technician position who is organized, detail oriented, and looking for the opportunity to support students and staff. Significant responsibilities of the Accounts Receivable Technician include researching and reviewing vendor invoices and purchase orders for all vendors within the Hopi Junior/Senior High School.

     

    RESPONSIBILITIES AND DUTIES:

    1. Receives purchase requisitions from the requestor and reviews for proper vendor addresses for price quotations, net term, and product numbers.
    2. From the Purchase Requisitions, prepares Purchase Orders. Fax, email and/or mail the originals of Purchase Orders to the appropriate vendors.
    3. Maintain files on all purchase orders.
    4. Reviews the outstanding Purchase Orders on a monthly basis to avoid any undelivered orders at the end of the fiscal year.
    5. Maintains the Blanket Purchase Orders for the Hopi Junior/Senior High School and monitors accounts for any suspicious charges that may be incurred against the Blanket Purchase Order.
    6. Processes travel authorizations, and travel claims for School Board Members, Administration, Teachers and support staff. Follows the Federal Travel Regulations set forth by the Bureau of Indian Affairs — Office of Indian Education Programs.
    7. Research issues, responds to questions, and assists staff regarding purchase orders.
    8. Complete year-end closure of outstanding purchase orders, set up vendor and purchase order files for the new school year.
    9. Assist with obtaining, filing, and maintaining W-9 forms for vendors.
    10. Assists in external audits by providing the appropriate purchase orders that are to be audited.
    11. Communicates effectively with outside vendors on all purchases of goods and services.
    12. Performs other duties as assigned.

     

    KNOWLEDGE AND SKILLS REQUIRED:

    1. Knowledge of basic accounting principles and technique.
    2. Knowledge of the Federal Acquisitions Regulation in procurement and acquisitions methodology with the understanding and knowledge of Buy Indian Act and sources of supply.
    3. Knowledge of Federal Travel Regulations.
    4. Working knowledge of personal computers, School ERP Pro Infinite Visions software, Microsoft Word, Excel, Access, etc.
    5. Ability to communicate effectively with people at all levels of the organizational structure, with other government or local agencies.
    6. Ability to follow policies and procedure.
    7. Skilled in prioritizing and planning work activities and tasks.
    8. Skill in handling requests in a timely manner.
    9. Ability to maintain a high level of ethical behavior and confidentiality when dealing with
    10. student, staff and/or parent information
    11. Ability to establish and maintain positive working relationship with others.
    12. Knowledge of general school site rules and policy.
    13. Knowledge of Governing Board rules of conduct and policy.
    14. Skill in communicating orally and in writing.
    15. Skill in establishing and maintaining effective working relationships with others, requiring the ability to interact professionally and courteously with students, faculty, staff and the public.

     

    QUALIFICATIONS:

    1. Associate's Degree in Accounting, Business Administration (12 credit hours in Business Administration), preferred, or related field; AND
    2. Three (3) years’ work experience in school finance setting or financial/accounting data processing;

     

    PREFERRED QUAILIFICATIONS:

    1. Hopi/Indian Preference in employment considered.
    2. Valid State Driver Licenses.
    3. Valid Arizona Department of Public Safety Fingerprint Clearance Card.
    4. Must successfully pass employment background checks within the last five years which include state, federal and local tribe.
