SCOPE OF RESPONSIBILITY:
Reporting to the Associate Director of Student Activities, the Student Activity Specialist will be responsible for the logistical coordination, staffing, and implementation of campus programs and events throughout the academic year and the specialist will support a variety of special projects throughout the year in collaboration with other team members. The Student Activitiy Specialist will provide direction and guidance to the Royal Court, Student Government Association, and Greek
Life.
ESSENTIAL JOB FUNCTIONS:
- Manages the implementation of all social, cultural, and recreational programs sponsored by Student Activities.
- Advises and assists with training workshops, student groups, and committees; develops goals and objectives; manages activity budgets.
- Create and market advertising materials for Student Activities.
- Approve all advertisements (flyers) for assigned student organizations to be posted campuswide.
- Interprets and administers University policies and procedures and serves as the main liaison between student programming committees and university departments. Recommends policy changes to Associate Director of Student Activities.
- Maintains confidentiality with data related to individual students and staff and per federal, state, local, and university rules and regulations.
- Coordinate and supervise Greek Life councils. Maintain adequate oversight of chapters, including regular meetings of council presidents and other intra-council initiatives. Supervise chapter recruitment/intake activities. Directly advise multiple organizations, ensuring that the direction of the Greek community is consistent with the mission of the national offices and of Kentucky State University.
- Develop programs and services that foster a sense of community and retention among Greek organizations. Develop, implement, and maintain quality educational programs focusing on topics such as leadership, risk management, financial responsibility, philanthropy, community service initiatives, and membership recruitment.
- Provide direction and support to the Student Government Association (SGA) by attending meetings; meet regularly with SGA officers; assist SGA with the development and maintenance of meeting agendas and minutes to ensure continuity and archiving; assist student leaders with promotion and recruitment activities; promotes and oversees SGA student elections; supervise and chaperones students at SGA conferences and activities.
- Manage and assist Royal Court members during their reign. Configure all logistics for the Court’s roles and duties, Schedule events for the Court, Plan budgets for the Court's activities for the fiscal year.
- Coordinate/marketing department, design and produce communication and marketing material; run social media accounts and digital promotion efforts related to Student Activities.
- Prepare and submit reports detailing fraternity/sorority grade point averages and recruitment and membership statistics.
- In collaboration with the Associate Director, oversee Student Activities budget and expenses.
Manage external bank accounts for multiple student organizations.
- Coordinate events and venues for students and campus organizations.
- Coordinate promotion and marketing efforts of all student-led activities.
OTHER DUTIES: Performs other related duties as assigned or as directed.
QUALIFICATIONS:
Bachelor's degree or its equivalent required and a minimum of two years related experience required, Master's in higher education or related field preferred.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Strong project management skills with demonstrated ability to work independently, to track and manage multiple projects simultaneously, and to meet deadlines.
- Excellent written and verbal communication skills are required.
- The right candidate is patient, solutions-oriented, and discrete.
- In addition, the candidate will always exercise sound judgment and enjoy working in a fast-paced start-up environment.
- Must be efficient with MS Office and other office software such as Publisher, Canva, and Photoshop.
DESIRED QUALIFICATIONS:
- Knowledge/experience working with different areas of Student Activities (e.g., programming, KSU Homecoming, etc.)
- Understanding/appreciation for working in a vibrantly diverse student and staff community.
SUPERVISORY RESPONSIBILITY: This position will have no supervisory responsibilities.
PHYSICAL REQUIREMENTS:
- Work is normally performed in a typical interior/office work environment
- Some physical effort in moving/transporting objects will be required
- No or very limited exposure to physical risk
- Extensive evening and weekend hours may be required
