Administrative Assistant - Bilingual performs secretarial and administrative duties in two or more languages. Collects, reviews and analyzes data and prepares reports, charts, budgets and other presentation materials. Being an Administrative Assistant - Bilingual responds to or routes routine inquiries from external or internal sources with customized correspondence in the required language. Schedules and coordinates meetings, travel, and other group activities. Additionally, Administrative Assistant - Bilingual is fluent in two or more languages and prepares document translations. Has advanced word processing, spreadsheet, and graphics software skills. Requires a high school diploma. Typically reports to a supervisor or manager. The Administrative Assistant - Bilingual works under moderate supervision. Gains or has attained full proficiency in a specific area of discipline. To be an Administrative Assistant - Bilingual typically requires 1-3 years of related experience, or may need 0 years of experience with additional specialized training and/or certification.     PURPOSE OF THE POSITION:

     

    To provide administrative and clerical support to the Executive Director. Responsible for overseeing account administration to support the company’s business goals, to ensure good customer service and to maintain quality relations with existing accounts.

     

    DESCRIPTIONS OF DUTIES :

     

    1. Collaborate with and assist the Executive Director by performing clerical duties in support office functions such as typing, filing, photocopying, faxing, calculationg, and other office functions.

     

    1. Compose and prepare correspondence with correct grammer and punctuation in the proper format, and maintain related files in an organized, accessible manner.

     

    1. Open and screen incomming mail and distribute to the appropriate Account Represenitive for deposit.

     

    1. Record and distribute Board minutes as required.

     

    1. Record and distribute montly financial statements to the Board of Directors.

     

    1. Create and maintain personnel records to include payroll, sick and vacation time and insurnace.

     

    1. Administer and authorize appropriate collection activities in accordance with practice guidelines.

     

    1. Moniter all functions related to billing and payment procedures; including review and processing of all requests for purchases.

     

    1. Oversee daily operations of account department, resolve operational problems and delegate responsibilities.

     

    1. Other duties that may be assigned by the Executive Director.

     

    KNOWLEDGE AND SKILLS REQUIRED

     

    1. Typing and the use of computers and other office equipment is essential.

     

    1. Good working knowledge of the requirements of Medicare and Medicaid.

     

    1. Proper English grammar and the ability to handle correspondence clearly and correctly.

     

    1. Ability to present a calm and professional demeanor to everyone.

     

    1. Ability to remain calm in stressful, tense or emotional situations.

     

    1. Ability to speak in a clear voice and the ability to take information quickly over the telephone.

     

    MINIMUM PERFORMANCE REQUIREMENTS:

     

    1. Education: Four-year high school diploma or equivalent

     

    1. Experience: Minimum of three years of experience in a medical billing environment.

     

    1. Minimum of three years of general account experience required.

     

    1. Mental Demands: Exacting. Must be able to determine what are appropriate billing decisions with regard to Medicare and Medicaid and private insurance. And the ability to manage accounts payable and receivables

     

    1. Impact of Decisions: Errors can affect company's ability to complete the billing process and have a impact on accounts payables.

     

    PHYSICAL REQUIREMENTS:

     

    Sedentary work, lifting 20 pounds maximum. Occasionally lifting and/or carrying articles  such  as  binders  and  boxes.  Lifting, talking, hearing, reaching, handling, feeling and seeing.

     

    WORKING CONDITIONS:

     

    General office environment.
