Reports to : Office Manager
Location : Fairbanks, AK
Full-Time
Basic Purpose :
Reporting to the Office Manager, the Administrative Assistance is responsible for the daily administrative tasks such as answering phones, and the processing of accounts receivable and accounts payable by following established standard operating procedures (SOPs).
Key Accountability / Responsibilities :
o Answering and directing incoming phone calls; updating and distributing the in-house phone list as required
o Preparing, receiving and distributing mail / faxes / emails
o Maintaining the appearance of the office areas
o Maintaining office supplies, creating purchase orders and placing orders
o Organizing freight quotes and shipments
o Login sample shipments in a timely manner
o Grid / Print / Sticker sample Preparation jobs
o Receiving orders, organizing and filing packing slips
o Utilize flex to create Purchase Order Requests
o Contact Vendors for quotes on goods and services
o Creating invoices, filing and performing data entry as required
o Practicing good housekeeping
