GT Sales & Manufacturing is a family-owned manufacturer and distributor of a wide range of products and materials for industry and commerce. Our Mission is to provide world-class industrial supplies, products, fabricated parts, and customer services to our customers. As the Administrative Assistant/Receptionist you will be the first facilitator to our customers by answering phones and greeting all visitors or vendors. This position will support the Administrative Manager, inside and outside sales, and warehouse.
Requirements
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:
· Answering and forward all incoming calls in a timely and professional manner
· Greet visitors and/or vendors
· Process and distribute all incoming and outgoing mail
· Process vendor invoices for approval
· Generate and maintain daily reports and logs
· Electronically file various paperwork
· Keep internal reference materials updated
· Provide support to sales by entering orders, reporting, and updating contracts
· Provide support to the warehouse by filing records, scheduling trucks, and reporting
· Maintains inventory for office and facilities supplies
· Assist in all administrative task as assigned
Qualifications:
· Exceptional organizational and time management skills and a sense of urgency
· Excellent written and oral communication skills
· Previous experience in administration and customer support roles
· Previous warehouse industry experience preferred but not required
· Ability to confidently work independently and problem solve
· Integrity and dependability

· Willingness to learn and take on new responsibilities
LANGUAGE SKILLS
An administrative assistant must be able to communicate effectively both orally and in writing. Because they are answering the phones and greeting vendors and/or visitors in person it is important that they maintain a professional attitude. They communicate with fellow GT employees, supplier personnel, and customer personnel ranging from operators on the line to senior management.
COMPUTER SKILLS
Administrative assistants regularly use Microsoft Office products and GT’s Sxe. Must also be skilled in creating Excel spreadsheets.
MATHEMATICAL SKILLS
Administrative assistants must be able to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. These skills are necessary in many aspects of the job.
OTHER SKILLS
Because administrative assistants are frequently given work by a variety of different personnel, they must have excellent, organizational skills, time management skills, and a sense of urgency.
PHYSICAL DEMANDS
While performing the duties of this job, the administrative assistant is regularly required to use hands to handle, grab or feel; reach, push, pull, and lift with hands and arms; talk or hear; bend, squat, stand, walk, and sit for long periods of time. The administrative assistant will often be required to lift 30 pounds.
WORK ENVIRONMENT
Can be high energy at times, with sometimes stressful or demanding deadlines and deliverables. This position is faced with constant interruptions and phone calls. Some overtime may be necessary.
