Description
Job Summary:
The Administrative Assistant provides clerical and administrative support to ensure efficient office operations. Supports managers, other employees, and office visitors by handling various tasks to ensure that all interactions between the organization and others are positive and productive. Requires the ability to effectively communicate via phone and email, ensuring that all duties are completed accurately, promptly, and delivered with high quality.
Responsibilities:
- Provide administrative support to departments and and senior executives.
- Verifies customer purchase orders for accuracy and completeness of information.
- Contacts customers directly if there are questions regarding customer information, pricing, delivery, and other concerns.
- Enters orders into ERP system for processing; proofs data entry documents for accuracy.
- Maintains the Customer Service Discrepancy Claims Log.
- Answers phones, screens, and directs incoming calls or visitors to the appropriate individual or department.
- Greets guests in a professional and friendly manner; maintains a complete visitor log.
- Assists in the preparation, compilation, and distribution of regularly scheduled reports.
- Coordinates travel arrangements and catering requirements for the executive team.
- Assists in the planning, coordination, and execution of various company meetings, events, and celebrations.
- Participate in company community relations as directed.
- Fulfills sales literature requests.
- Runs errands as needed.
- Handles sensitive information in a confidential manner.
Qualifications
Qualifications:
- High school diploma or G.E.D.
- Two years experience in a clerical office environment is required.
Knowledge & Skills:
- Proficient in MS Office proframs including Word, Excel, and PowerPoint.
- Excellent organizational and time management skills.
- Strong written and verbal communications skills.
- High degree of attention to detail.
- Ability to maintain proper etiquette while understanding customer service demands.
- Flexible team player with excellent great interpersonal skills, willing to adapt to changes, and unafraid of challenges.
- Ability to maintain confidentiality of information related to the company and its employees.
- Good analytical, problem solving, and critical thinking skills.
- Knowledge of general office practices and procedures.
- Ability to operate standard office equipment, such as computers, fax machines, copiers, and calculators.
