  • Edgewater is seeking qualified candidates for an Administrative Program Manager in support of the Hanford Mission Integration Solutions (HMIS) Administrative Services Contract in Richland, WA.

    This position will provide management and oversight to executive assistants and other administrative support personnel. Candidates with familiarity with Hanford Site Administrative Operations are preferred.


    Responsibilities/ Deliverables

    • Responsible for the day-to-day management and supervision on administrative services staff.
    • Ensure desk procedures for administrative tasks are created and maintained in accordance with HMIS standards
    • Ensure we have the required number of qualified administrative personnel at their assigned job location each day performing at a high-quality capacity.
    • Ensure personnel are properly trained and qualified, familiar with the work scope, are on time for work, are polite and courteous, perform necessary tasks in an error free and complaint manner.
    • Assist in the development, revisions, and implementation of Administrative & Correspondence Training/ Onboarding procedures
    • Include Edgewater PM & HMIS BTR on responses to any unique HMIS manager requests
    • Manage and report productivity of staff
      • Send a callout to direct reports requesting accomplishments, any training they’ve received, anything above and beyond, document and report
      • Interface with HMIS end users monthly for each direct report on performance and meeting position requirements
      • Obtain weekly report summary of work and CACN’s from employees for timecard auditing
    • Respond to employee PTO requests, sick leave, and timecard approval by interfacing with client
      • Ensure proper coverage and back up support, include BTR & program manager
    • Provide Charge code authorization information.
    • Actively seek feedback to ensure our staff job performance meets and exceeds expectations.
    • Address and troubleshoot identified issues, counsel staff members, document counseling and employee dismissals.
    • Post phone numbers and email addresses for the management team in immediate work areas and commons areas.
    • Manage the incoming and outgoing correspondence per the requirements identified in the SOW.
    • Various administrative and leadership duties as required.

    Specific Tasks

    • Send “Welcome” Emails to new employees and staff for introductions, including contact information.
    • Introductions w/employees and HMIS managers on-site
    • Complete onboarding/ termination documents and update in Shared drive.
    • Spot check Deltek timecards at least twice a week to ensure accuracy of time and charge codes.
      • Contact employees to confirm they are saving their hours at the end of each day & are signed by the end of every week.
    • Schedule and host monthly Teams meetings with entire ETA Admin staff.
      • Create agenda/ Topics for discussion
      • Provide a free flow of communication between staff and management
      • Provide an open forum to ask questions & voice concerns
      • Provide answers at the meeting if possible or commit to obtaining near term resolutions
      • Present a focused review of procedural requirements or desktop instructions to reinforce process requirements and ensure all the team is aligned
    • Participate in biweekly, monthly, and periodic status meetings with PM, HMIS contract specialist & BTR.
    • Validate & screen potential administrative staff to place them in the most appropriate role and organization
    • Participate in meetings with ETA staff, HMIS matrix managers and HMIS contracts teams to evaluate performance, collaborate on transitioning and onboarding strategies, and ensure coverage for any potential backfills or temporary hires
    • Send monthly report to ETA PM on last working day of every month.
    • Minimum of 1 monthly shoutout/ recognition of employee(s) via email to team.
    • Assist with the onboarding & training of new employees by
      • Adding into Popfon, PeopleCore
      • Preparing EJTAs & Training Plans
      • Assigning software and systems
      • Providing access to necessary trainings and SharePoint drives (organizationally)
      • Add employees into Popfon, prepare EJTA’s and training plans
    • Drive effective and timely performance of Administrative HMIS Correspondence procedures
    • Delegate Training responsibilities on administrative tasks for new employees
    • Develop and coach employees, lead corrective actions and deliver performance feedback
