Job Summary:
Reporting to the Associate Vice President for Finance & Treasury, this exempt position is responsible for organizing, coordinating and managing office administrative operations in order to ensure organizational effectiveness and efficiency for the Office of Finance & Treasury.
This critical position services as a key member of the Office of Finance & Treasury. The incumbent must possess the ability to work effectively with external banking and investment professionals, as well as a wide variety of individuals across campus.

Primary Job Duties and Responsibilities
1. Executive Support
-
Coordinate schedules for various Investment Committee members, the CFO, the AVP and external consultants, for quarterly Investment Committee, Private Capital Subcommittee, and Hedge Fund Subcommittee meetings.

Coordinate Investment Committee and Subcommittee meetings and materials with the needs of the department, the Board Secretary and the Office of the President, including setting meeting dates, creating calendar events, and posting meeting materials to the Board of Trustees website, in accordance with protocols set by the Office of the President.

Send out Investment Committee and Subcommittee materials and monitor meeting RSVP's.

Manage Investment Committee Zoom calls and share electronic information as needed with meeting participants.

Process all incoming correspondence received by the AVP, prioritizing and determining its disposition; direct mail to appropriate internal staff; draft responses for the AVP or appropriate staff member, where appropriate, for review and signature.

Manage the day-to-day administrative affairs for the AVP; schedule all appointments and other commitments; provide background information and/or supporting documents in preparation for scheduled appointments, meetings, speaking engagements, conferences, etc.

Arrange all aspects of departmental business travel for conferences and other travel.

Perform administrative activities, with a high attention to detail, organization, and process.

Prioritize conflicting needs; handle matters expeditiously and proactively; follow-through on projects to successful completion and in accordance with deadlines.
2. Analysis, Reporting, Communications
-
Monitor and maintain department calendar.
-
Monitor and maintain Treasury@usfca.edu email for income statements, investment manager correspondence, and incoming information requests.

Prepare and submit purchasing and payment requests through Hilltop Shop and Concur invoice for vendor payments.
-
Manage a large volume of investment statements and correspondence, including downloading the documents from various investment manager websites and saving to the internal server.

Create and maintain the calendar of annual investment manager meetings and coordinate with office attendees. Communicate attendance with external investment managers.

Create and maintain electronic files for the University's bank accounts and bank relationships.

Create and maintain electronic files for monthly and annual statements related to banking, trust, and custody accounts.

Design and manage the Office of Finance & Treasury website.

Manage the Office of Finance & Treasury budget obligations through Concur and Hilltop Shop.
3. Coordination/Logistics
-
Manage a variety of matters including preparation and control of records, reports, correspondence, memoranda, personnel changes, etc.

Plan, organize, and manage all office-wide events, such as holiday parties, office retreats, University wellness challenges, etc.

Coordinate new staff onboarding activates such as granting security access, activating new listings in internal directories, and ordering business cards.
-
Coordinate candidate interviews, all-day visits, and (occasionally) travel/hotel arrangements, as requested by the AVP.
-
Manage and coordinate physical facilities for the Office of Finance & Treasury; including, but not limited to, purchasing office supplies and materials, as needed, for office staff; and coordinating the acquisition and repair of office furniture and equipment.

Coordinate purchasing, offsite storage, facilities, and ITS requests and communications for the office.
4. Additional Items

Establish and maintain effective and cooperative professional business relationships with all levels of management, faculty, staff, and students.

Perform other duties as assigned from time to time by the AVP.
Job Qualifications:
-
A Bachelor's Degree in a relevant field is required.
-
A minimum of 5 years of prior relevant experience is required, with a preference for office administration experience at an institution of higher education.
