Admitting Clerk performs routine registration, data collection, and administrative tasks to admit patients to a healthcare facility. Inputs patient demographic information into the designated system, collects and validates insurance or financial information. Being an Admitting Clerk reviews paperwork and obtains all necessary consents and signatures from patients or family. Explains the facility's policies and procedures and answers routine questions. Additionally, Admitting Clerk coordinates patient intake and bed assignment processes with clinical or administrative teams. Follows all established policies and standards to preserve patient confidentiality, ensure data security and comply with all applicable regulations. Requires a high school diploma. Typically reports to a supervisor. The Admitting Clerk works under the close direction of senior personnel in the functional area. Possesses a moderate understanding of general aspects of the job. HCA Admitting Officer responsibilities include various activities related to patient intake and financially securing encounters through comprehensive insurance verification in a 24/7 operational department.
Facilitates accurate and thorough patient registration and confirm all compliance forms are obtained timely.
Execute administrative duties as requested by hospital units to include and not limited to admitting and discharging patients.
Communicates as appropriate with the NJ Medical Examiners, the Sharing Network, and Funeral Directors.
Initiates electronic death record via NJ EDRS.
Submits notice of admissions to all payors as appropriate via electronic portal or fax transmittal.
Must ensure quality patient registration, point of service collections, positive telephone etiquette and patient satisfaction in support of Cooper University Hospital Mission and Core Values. Must be able to work independently and as a team with an enthusiastic personality.
Admitting Officer needs to have strong organizational skills along with the ability to improvise and adapt when faced with unforeseen circumstances that arise throughout each day within a professional medical environment.
Strong Customer Service utilizing AIDET to ensure the objective of meeting the patient’s needs. Controls and monitors workflow during process to ensure quality and accuracy in all encounters.
Verification and data entry of all required registration and admission components during each encounter. This includes and not limited to patient demographics, insurance verification, plan codes, authorizations/referrals, orders, guarantor type, HAR/patient class, bedding of patient, etc.
Insurance and benefit verification – utilize RTE and various payer portals to verify eligibility and benefits for services being provided. This may include plan codes, eligibility, coordination of benefits and subscriber information.
Compliance Forms – Capture all required consent forms at time of service. Communicate cases to Medica Examiner when cases meet criteria
