Admitting Supervisor supervises the day-to-day patient admissions and access operations and staff responsible for required registration, and patient intake processes. Follows standardized processes for admission procedures to ensure accurate data collection, a positive patient experience, and effective coordination between clinical and administrative teams. Being an Admitting Supervisor monitors operational metrics to improve processes, increase efficiency, or correct problems. Prepares staff work schedules to ensure coverage and coordinate training and staff resources. Additionally, Admitting Supervisor follows all established policies and standards to preserve patient confidentiality, ensure data security and comply with all applicable regulations. May require a bachelor's degree. Typically reports to a manager. The Admitting Supervisor supervises a small group of para-professional staff in an organization characterized by highly transactional or repetitive processes. Contributes to the development of processes and procedures. To be an Admitting Supervisor typically requires 3 years experience in the related area as an individual contributor.     Summary:

    Under close supervision, the Admitting Front Desk Representative will be the primary contact for patients presenting to the Admitting Department and will assist with check-ins, basic customer service as well as navigating the ANTHC campus.

    Admitting front desk representatives perform work under close supervision, may only perform simple or routine aspects or the position, and generally require a good deal of instruction and/or training.
    Responsibilities:
    Operate the front desk following the ANTHC and Admitting Department policies and procedures. Must be able to greet and thank patients in a sincere, friendly manner. Must be able to work independently. Must be able to process requests in Electronic Health Record.

    Be attentive, helpful and have a courteous attitude to all patients and co-workers. Empathetically listen to and understand patient concerns, requests and reason for visit to determine best way to assist. Communicate clearly and effectively with Admitting Registration Coordinators, supervisors and patients.

    Provide an outstanding service experience for every patient.

    Maintain a clean and professional appearance as set in the Admitting dress code guideline.

    Must maintain cleanliness and sanitation of front desk area.

    Remain current with all updates to Policies and Procedures. Remain current with all training.

    Operate all aspects of the Admitting Front Desk Office computer systems with accuracy. Understand and use all available Admitting Office computer systems and programs.

    Performs other duties as assigned or required.

    KNOWLEDGE and SKILLS

    • Knowledge of Alaska Tribal Health System, ANTHC, and Alaska Native culture(s) and politics.
    • Knowledge of customer service concepts and practice.
    • Knowledge of the Privacy Act of 1974 and HIPPA Privacy Rule Act of 1966.
    • Skill in oral and written communication.
    • Skill in managing multiple priorities and tasks concurrently and meeting deadlines.
    • Skill in establishing and maintaining cooperative working relationships with others.
    • Skill in operating a personal computer utilizing a variety of applications.
    • Skill in operating office equipment, including copiers and fax machines.
    • Skill in operating multiple line telephone systems.
    • Skill in working independently or as a team member.
    • Skill in dealing with distressed customers.


    MINIMUM EDUCATION QUALIFICATION

    High school diploma or GED equivalent.

    MINIMUM EXPERIENCE QUALIFICATION

    Non-Supervisory – One (1) year of Customer Service experience. An equivalent combination of relevant education and/or training may be substituted for experience.
