Admitting Supervisor supervises the day-to-day patient admissions and access operations and staff responsible for required registration, and patient intake processes. Follows standardized processes for admission procedures to ensure accurate data collection, a positive patient experience, and effective coordination between clinical and administrative teams. Being an Admitting Supervisor monitors operational metrics to improve processes, increase efficiency, or correct problems. Prepares staff work schedules to ensure coverage and coordinate training and staff resources. Additionally, Admitting Supervisor follows all established policies and standards to preserve patient confidentiality, ensure data security and comply with all applicable regulations. May require a bachelor's degree. Typically reports to a manager. The Admitting Supervisor supervises a small group of para-professional staff in an organization characterized by highly transactional or repetitive processes. Contributes to the development of processes and procedures. To be an Admitting Supervisor typically requires 3 years experience in the related area as an individual contributor.     Position Summary

    This position is the initial contact for patients at Southern Maine Medical Center, and, as such, must demonstrate exceptional customer service skills in all interactions.  This position has the responsibility for complete and accurate patient registration, insurance verification, medical necessity validation, identifying and collecting amounts due from the patient, entering orders, and providing for an efficient flow of clinical, administrative and clerical tasks.  Obtains patient’s signatures on consent and assignment forms and applicable insurance denial notices.  Assists with and arranges accommodations for patients with special needs.  All tasks are required to be done per established protocols and accuracy standards while demonstrating the Champions of Care expectations of Welcome, Listen and Serve. To be successful in this role, the employee must be competent, flexible, and adaptive to changes in healthcare delivery and technology.

    Required Minimum Knowledge, Skills, and Abilities (KSAs)

      1. Education: High School graduate preferred. 
      2. License/Certifications: N/A
      3. Experience: Previous clerical health care experience preferred. Previous customer service experience required. 
      4. Must complete a formal medical terminology course and customer service training within 1 year after hire. 
      5. Knowledge of insurance plans and their requirements (ie: worker's compensation, managed care, Medicare/Medicaid) is desired.
      6. Knowledge of medical office procedures and insurance requirements is helpful. 
      7. Must demonstrate progress in understanding insurance requirements.
      8. Familiarity with medical terminology used in an individual physician practice setting is desirable. 
      9. Good interpersonal skills are required, with an ability to interact with patients and others, both in person and over the telephone, in a courteous, tactful, and effective manner. 
      10. Customer service training a plus.
      11. Strong command of the English language must speak and write it clearly.  The ability to speak French is helpful. 
      12. The ability to use a personal computer for online data entry is required. 
      13. Typing, faxing, copier and computer skills are required.
