    A. POSITION PURPOSE

    The Director of Alumni and Donor Relations is responsible for the overall engagement and communication strategy for Bronco Athletics alumni, donors, and other constituents to advance the fundraising goals of the athletic department. The position will serve as the point of contact with Alumni Relations, University Annual Giving, and the Athletic Department external team.

    B. ESSENTIAL DUTIES AND RESPONSIBILITIES

    1. Direct the constituent engagement efforts for Santa Clara Athletics

    Manage partnership and collaboration with Athletic Department external team, University Relations annual giving team, and Alumni Relations to coordinate and streamline athletics fundraising outreach and engagement efforts.

    Prepare and execute strategic plans to increase engagement with student-athlete alumni and donors, including but not limited to: social media, website, mail, email, and phone communication, along with planning and coordinating in-person event outreach.

    Serve as point of contact for all Santa Clara Athletics donors and student-athlete alumni (phone, office, email etc.) specifically with general inquiries or initial communication.

    Donor contact for gift related questions, including gift processing.

    In conjunction with the ticket office, coordinate, process and manage all donor-related season ticket holder renewals and sales.

    Design, send and process athletics development mailings for gift solicitations.

    2. Oversee coordination of Athletic Development data management and analysis.

    Manage the database/filing system for athletics donors.

    Enter all general pledges and gifts into the university's database platform (Clara) and ensure integrity of data.

    Manage donor lists for effective operation of office including Trustee list, Committee list, Alumni list, and other distribution lists.

    Process all donations received and notify gift processing unit of allowable IRS deductions to ensure receipts state correct deductible amount.

    Manage all donors into Clara to ensure processing to correct individual and correct payment method.

    Track all gifts to the Athletic Excellence Fund, BBF, sport restricted funds, and other scholarship endowment or capital funds processed by University Development to ensure that donors receive acknowledgement and benefits according to level of giving.

    Manage gift logs and prepare reports for the Athletics' frontline fundraising

    Manage gift files as required for audit purposes.

    Coordinate closing of BBF budget with accountant and university relations unit.

    Execute Clara database reporting and searches including individual giving history, demographics updates, fund reporting, etc.

    Work with athletics business unit to run account analysis reports and ledgers as needed.

    Determine parameters, request, and manage prospect contact info for athletics fundraising campaigns and efforts.

    3. Oversee the Athletic Department alumni/letterwinner network platform.

    Design, customize, maintain and update platform content.

    Coordinate with coaches to plan and execute sport-specific engagement opportunities and strategic implementation of fundraising campaigns and outreach efforts into network communication.

    Collaborate with Alumni Relations platform lead to integrate and streamline university alumni network efforts with athletics efforts.

    Collaborate with Bronco Network (current student-athlete mentorship and networking program) lead to streamline networking and engagement opportunities.

    4. Direct the Athletic Department's annual Day of Giving campaign outreach and engagement efforts

    Plan overall communication, marketing, and engagement strategy for Day of Giving campaign.

    Collaborate closely with University Relations and Athletic Department external team to plan and execute social media and marketing strategy.

    Coordinate with athletics development team, sport administrators, and coaches to craft strategy and execution to achieve each sport-specific goal.

    Oversee planning and execution of Day of Giving outreach efforts, including but not limited to email, mail, and phone outreach.

    5. Other duties as assigned.

    Be aware of and abide by all applicable NCAA and Conference rules and regulations.

    C. PROVIDES WORK DIRECTION

    Provides direction and feedback to Event and Donor Relations Coordinator and Athletic Development student workers.

    D. GENERAL GUIDELINES

    Recommends initiatives and implements changes to improve quality and services.

    Identifies and determines cause of problems; develops and presents recommendations for improvement of established processes and practices. Maintains contact with constituents and solicits feedback for improved services.

    Maximizes productivity through use of appropriate tools; planned training and performance initiatives.

    Researches and develops resources that create timely and efficient workflow. Informs supervisor of project statuses and deviation from goals. Ensures completeness, accuracy and timeliness of all operational functions.

    Prepares and submits reports as requested and required.

    Develops and implements guidelines to support the functions of the unit.

    E. QUALIFICATIONS

    Experience in marketing and communication.

    Experience in Web and graphic design preferred.

    Finance/accounting experience preferred.

    3. Abilities

    Ability to work effectively with external constituents, particularly donors and corporate sponsors.

    Ability to work effectively with internal constituents, particularly senior staff, coaching staff, student-athletes, and other appropriate University staff.

    Demonstrated ability to handle confidential information with discretion.

    Ability to work on multiple projects simultaneously with frequent interruptions.

    4. Education

    Bachelor's degree required.

    5. Years of Experience

    A minimum of five years' experience in higher education or nonprofit fundraising, and preferably within a college athletics environment.
