GENERAL DESCRIPTION OF POSITION:
The Special Events and Alumni Relations Coordinator: is accountable to the Director of Advancement managing the effective planning, organization, direction, control, and coordination of the school’s events. Additionally, he/she/they is the coordinator of the school’s alumni activities and the alumni committee. He/she/they is responsible for the group’s management and organization which can include relations with its alumni (member and nonmember), alumni parents, and friends.
GENERAL RESPONSIBILITIES:
- Takes a leadership role in designing, planning, coordinating, and managing all fundraising events.
- Coordinates the marketing efforts for fundraising events and alumni relations.
- Works with other members of the Advancement Department to identify actions to be taken in the areas of alumni; identification of the school’s target markets for events; and the utilization of appropriate means to reach them.
- Develops and then implements the annual alumni relations plan.
SPECIFIC RESPONSIBILITIES:
Special Events
- Plans coordinates, and executes all annual fundraising events
- Actively recruits volunteers.
- Coordinates the work of the various committees and Advancement Office support staff.
- Identifies and solicits corporate sponsorships and in-kind donations in support of fundraising events.
- Creates the schedule and timeline of special events.
- Supervises and coordinates caterers, event setup and cleanup, and other logistical needs as necessary.
- Updates budget projections for the events.
- Provides the Director of Advancement with a debriefing recap and event analysis after completion of each event.
- Ensures that each event financially stands on its own.
- Serves as liaison for the grandparent club.
- Attends and staffs school events per the Director of Advancement.
- Attends additional meetings per the Director of Advancement (including but not limited to Parent Club meetings, Advancement Committee meetings, Recruitment Committee meetings, etc.)
- Provides written activity reports to the Director of Advancement weekly.
Alumni
- Works with the Director of Advancement to identify, cultivate, and solicit alumni donors through targeted campaigns.
- Maintains current alumni records and alumni donor files.
- Communicates alumni accomplishments to the community at large via an e-newsletter, alumni magazine, social media, etc. utilizing the communications department.
- Coordinates phone-a-thon efforts for alumni and annual giving efforts.
- Assist with recruiting Alumni Association Board members and at-large members per the Alumni Association by-laws.
- Assists the Marketing Director in creating and producing the alumni newsletter/school magazine by providing articles and photos.
- Plans and organizes all Alumni Association events in conjunction with the Advancement Office (including but not limited to alumni sports events, reunions, and phone-a-thon) utilizing the leadership of the Alumni Association.
- Manages alumni activities about the annual fund and capital campaigns.
- Follow-up reunions with newsletter/photos to all class members and thank you letters to those in attendance followed by solicitations.
EXPECTATIONS: Initial 12 months
- Manage all school events including, but not limited to, Color Run, Party on the Pond, Hall of Honor, Monster Mash, Meet Your Desk Night, and all Grandparent Club events.
- Create a platform for individual class phone-a-thons—achievement of 5 classes participating.
- Increase alumni participation in the annual fund by at least 3% annually from the agreed-upon base via phone-a-thon and personal solicitations.
- Ensure that every alumni class has the representation of participation in the annual fund.
- Enlist class agents to assist in contacting their social group via social media for the annual day/s of giving.
- Meet and then exceed the budgetary goal of net income for all special events.

Pay: $40,000.00 - $45,000.00 per year
