Assistant Director, Advising and Academic Affairs

  • Widener University is currently seeking an Assistant Director of Advising and Academic Affairs in the Center for Continuing Studies. Reporting to the Executive Director of Continuing Studies, this role provides support to the advisement of Continuing Studies students, which includes high school, undergraduate, certificate, and graduate students.

    DUTIES AND RESPONSIBILITIES (including, but not limited to):

    Essential duties:

    • Provide academic advising to Continuing Studies students consistent with established policies, procedures, and program requirements.
    • Establish new relationships to increase enrollment and program participation.
    • Create marketing materials and presentations for Continuing Studies programs and courses.
    • Work with Admissions and University Relations to ensure the application process is accurate and accessible for each semester
    • Coordinate with academic departments and other stakeholders regarding course offerings when needed. Advise and evaluate transfer credit of undergraduate students seeking transfer to Continuing Studies.
    • Manage application and registration process for all assigned Continuing Studies advisees.
    • Generate reports to track student recruitment, enrollment, and retention.
    • Maintain contact and assist students through the application process by phone or email.
    • Monitor advisees' academic progress and remind them of important semester dates, program requirements and policies.
    • Serve as the main contact for student issues, including complaints, appeals, and academic-related concerns.
    • Coordinate and track regular retention outreach efforts for assigned advisees, and engage in outreach to students and faculty to ensure academic success.
    • Run graduation petition report and prepare files for review. Notify students of graduation decisions.

    Secondary responsibilities:

    • Monitor Ed2Go student enrollments, track payments, and course completions, prepare certificates of completion for distribution
    • Prepare Academic Honors and Dean's Lists letters for distribution each semester.
    • Maintain Alpha Sigma Lambda Honor Society membership, coordinate annual student eligibility and invitations, purchase member supplies.

    MINIMUM QUALIFICATIONS (education/training and experience required):

    Required:

    • Minimum three years of experience working with students in a college or university
    • Bachelor's degree
    • Must be organized, flexible, and able to handle several tasks simultaneously and plan effectively
    • Proficiency with Microsoft Office suite, especially Outlook, Word, Excel, and PowerPoint; ability to quickly pick up new software systems, including student information system and learning management system.
    • An enthusiastic, organized self-starter capable of working independently and as part of a team supporting creative people. S/he should anticipate problems and propose solutions.
    • Excellent organizational and communication skills, exceptional attention to detail, and correct command of English language grammar and usage are essential to succeed in this position.
    • Superior communication skills - verbal and written - including phone, letters, email, voice-mail, and one-on-one.

    Preferred:

    • Master's degree
    • Experience with enterprise systems and student information systems
    • Previous experience in continuing education and/or online education is highly preferred
    • Previous experience with academic advising and student reporting is highly preferred

    PHYSICAL REQUIREMENTS AND/OR UNUSUAL HOURS:

    • Usual office environment; some walk-in traffic; high level of interaction with others in person, electronically, or via telephone
    • Some evening and weekend hours may be required as determined by student enrollment needs
    • Spend hours looking at a computer screen.
    • May carry files/work items up to 20 lbs.
    • Driver's license required
    • Ability to travel within a 50-mile radius
    • Ability to be mobile between work stations and various campus buildings
