    Office Hours: Monday-Friday 8:30am - 5:00pm

    The Community Child Care Council is looking for an Assistant Client Services

    Director with a general working knowledge of all programs within the ECES

    Department to join the 4Cs team. The Assistant Client Services Director will assist

    the Client Services Director (CSD) with the daily operations and program needs of

    the ECES Client Services Department with a specific focus on Alternative Payment

    program services. The ideal candidate will oversee assigned projects and

    administrative duties associated with case management including staff training,

    supervision, systems maintenance and development, implementation, planning,

    reporting and local and statewide representation.

    PRIMARY DUTIES & RESPONSIBILITIES:

    • Assist the Client Services Director (CSD) to maintain and monitor training,

    systems development, implementation, planning, evaluation, Parent and

    Provider Handbooks and the “Training Guide” Case Manager toolkit.

    (Computer programs as well as department paperwork).

    • In partnership with the CSD, ensure compliance with all funders, licensing

    and audit/review regulations, guidelines, and reporting requirements.

    (Contract Monitoring Review, Reporting etc.)

    • Assist CSD in the development of procedures which implement approved

    agency policies.

    • In partnership with the CSD ensure appropriate staff training, development,

    and supervision is identified and provided, including the preparation,

    implementation, and evaluation of annual department and individual goals

    and objectives.

    • Lead assigned work project focus area in all stages from idea generation,

    training, implementation and through completion. Including developing

    needed trainings, procedures, communication, tracking, reporting, and

    reflection to refine future team projects.


    • Assist in the development and implementation of the “Quality Review”

    process for data accuracy and entry in the database NoHo.

    • Manage assigned projects in coordination with CSD (Outreach, Quality

    Assurance, etc.).

    • In the absence of CSD, act on behalf of the Department Director.
    • Work with fiscal team colleagues to ensure payments are made timely and

    accurately.

    • Support the ECES Officer of the Day in case of multiple client needs, absence,

    or emergency.

    • Act as Case Manager for assigned caseload, including any 4Cs office or center

    staff receiving child care subsidies from the agency and/or confidential cases.

    • Create and maintain collaborative, professional working relationships with all

    Case Management staff.

    • In collaboration with ECES Management plan and implement annual staff

    retreat.

    • Serve as a member of the agency Management Team.
    • Represent 4Cs at community outreach events, act as liaison to local and

    statewide community groups and agencies and serve as a resource to staff

    and the community.

    • Available to work some evening and weekend hours as needed.
    • Provide excellent customer service, including but not limited to, having a

    friendly and approachable tone of voice and body language, returning phone

    calls within twenty-four hours of receipt of call and maintaining positive

    interactions with others.

    • Serve on a minimum of one agency or department committee.
    • Represent 4Cs at community outreach events for a minimum of eight hours

    per year.

    • Assist supervisor and other team members with department duties as

    assigned.

    • Lead/organize, attend, and participate in department staff meetings, monthly

    all office staff meetings, and department retreats and community meetings

    as requested.

    SUPERVISORY RESPONSIBILITIES:

    • Assigned ECES Case Management Team Staff

    SKILLS AND QUALIFICATIONS:


    • Strong knowledge of database programs and architecture.
    • Strong organizational skills and ability to multi-task
    • Demonstrated knowledge of current trends in child care and child

    development.

    • Project management and leadership experience with ability to train, coach

    and motivate staff.

    • Demonstrated knowledge of Microsoft Office programs and email and

    internet protocols.

    • Demonstrated effective oral and written communication skills in English.
    • Excellent customer service skills and customer service experience.
    • Ability to work well with people from various social, cultural, economic and

    educational backgrounds.

    • Bilingual (desired)
    • Valid California driver’s license and insured automobile.

    EDUCATION AND EXPERIENCE:

    • A Bachelor’s degree and, a minimum of 3 years’ experience in social service

    or child care agency, experience with Case Management preferred.

    • Minimum three years of progressively more responsible job experience

    working in teams, with a minimum one year of supervisory or leadership

    experience.

    WORK ENVIRONMENT:

    • Office

    PHYSICAL REQUIREMENTS:

    • Health clearance by physician; ability to fulfill physical requirements of the

    job including lifting 15-50 pounds, range of movement including squatting,

    bending, reaching, standing, and sitting.

    TRAVEL:

    • Occasionally, 10% for training or staff meetings.
