      Monona Grove School District: Monona Grove School District has an opening for a 1.0 FTE Administrative Assistant to the Director of Student Services. Position begins approximately June 1, 2022.

      Overview:
      The Monona Grove School District is seeking a qualified Administrative Assistant to the Director of Student Services.

      The Administrative Assistant to the Director of Student Services performs complex administrative services to assist the Director of Student Services, including but not limited to financial and office work in the Student Services department with members of the District team. The duties of this position require a high degree of organizational planning, attention to detail, and the exercise of independent initiative and judgment.

      Responsibilities:
      • Maintain accurate office records including documents and forms for various Student Services programs including.
      • Work with District Registrar on coordination and management of record requests for students transferring in or out of the District.
      • Accurately enter program data in appropriate databases for state and federal compliance.
      • Prepare records for Special Education requests including pulling, copying, faxing, mailing, and filing appropriate records and corresponding with other districts as necessary.
      • Maintain and update all program manuals.
      • Maintain program archives including data entry and destruction of records in accordance with records retention policy.
      • Maintain accurate student records and update student databases as required.
      • Fulfill requests for student records by phone and written correspondence.
      • Assist with arrangements for professional development trainings and meetings.
      • Assist with budget and grant development, including submitting and modifying online federal grants.
      • Compose, calculate, maintain, and bill contracts for external Special Education services.
      • Perform general office duties including answering multi-line phones, greeting the public, typing, filing, sorting, and handling incoming and outgoing mail.
      • Record meeting minutes for Student Services team meetings
      • Appropriately maintain and secure confidential records and inquiries.
      • Create and coordinate schedules for special projects including scheduling meetings, making room arrangements, developing surveys, and collecting data.
      • Assist with transportation coordination for Special Education and McKinney Vento programs.
      • Attend work regularly.
      • Perform other duties as assigned.

      Experience and Training:
      • High school diploma or equivalent required.
      • Previous office experience preferred.
