Job Summary
We are a high-end residential construction company looking for someone to fill a full- time position as the Assistant to the President/CEO of the company. To perform this role successfully, you should have proficient knowledge, experience and detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems and have experience as an executive or administrative assistant in the residential and interior construction field. Management of the President/CEO's emails and calendar are the top priorities for this role. Candidate must have superior professional writing and verbal skills. Candidate must have mastery in Microsoft Outlook email and calendar management. Basic bookkeeping experience is also required.
Skills/Qualifications:
· Must be able to proficiently operate a computer – Proficient in MS Office programs, internet research, etc.
· Professional level verbal and written communication skills. This includes being able to efficiently and courteously converse with anyone we work with and being able to write professional emails/correspondence.
· Time Management Skills: must be an organized individual able to self-supervise and multi-task in an often fast-paced environment.
· Proven experience in residential and interior construction.
· Candidate is expected to be flexible and resourceful.
· Must be able to take orders and follow instructions.
· Must have a valid driver’s license.
Job Description:
· Conserves President's time by reading, researching, and routing correspondence; drafting emails, letters, and documents; collecting and analyzing information; initiating telecommunications.
· Maintains the President’s appointment schedule by planning, preparing for, and scheduling meetings, conferences, teleconferences, etc.
· Communicates with our high-end clientele, vendors, subcontractors, as well as other employees in the company by answering or directing inquiries.
· Maintains customer confidence and protects operations by keeping information confidential.
· Provides historical reference by developing procedures for retention, protection, retrieval, transfer, and disposal of records; recording meetings.
· Handles basic bookkeeping and reconciliation tasks relative to the President's personal finances.
· Provides general administrative support.
Someone with a 9 - 5 mindset need not apply since some days may run longer than others depending on tasks being performed. Hours are as the day’s workload demands.
