    JOB SUMMARY

    The Assistant Vice President for Financial Services provides executive-level planning, organizing, directing, and leadership for financial services; oversees the business affairs and budget functions, manages and implements all fiscal operations necessary to perform the financial responsibilities of the College including but not limited to trial balance, statement of revenue and expenditures, and other financial reports; manages all aspects of procurement operations, and monitors grant budgets, plant funds, accounts payable and payroll; leads the annual audit; provides oversight of all financial services activities. The AVP for Financial Services collaborates closely with the Controller, senior leadership, and other institutional leaders to constantly evaluate and identify areas of process and cost improvements on all matters regarding the College’s financial services operations; and performs related work as assigned. This position reports to the Vice President of Finance and Administration.

    ESSENTIAL JOB FUNCTIONS:

    • Oversees the preparation of all financial reports and documents including the annual financial reports, annual budget, costs analysis, quarterly and annual payroll reports, monthly financial reports, periodic forecasting and analyses, and other financial reports as required for the College.
    • Responible for all College financial and accounting operations; manages and monitors grants and restricted funds, construction and plant funds, auxiliary services, accounts payable, operating and capital budgets, payroll, and all aspects of procurement operations.
    • Assists with coordinating, developing and monitoring grant budgets and expenditures, to ensure timely financial and program reporting.
    • Ensures that the College’s accounting records and reports are in compliance with Generally Accepted Accounting Principles (GAAP), federal regulations, and good business practices.
    • Leads the annual audit; cooperates with and assists external auditors as appropriate; reviews audit findings and notifies specific departments within the College of such findings to ensure compliance and to be proactive in improving college operations.
    • Maintains integrity of the accounting system to include trial balance, statement of revenues and expenditures, chart of accounts, and other financial reports.
    • Coordinates, plans, organizes, and provides direction and oversight for the administration of all financial services functions.
    • Plans, organizes, reviews, supervises and evaluates the work of the controller’s office functions that include accounting and reporting, payment services, treasury, revenue cycle, payroll, travel management and tax services.
    • Evaluates and provides oversight and guidance to the Controller, Assistant Controller, Accounting Manager, and staff as it relates to general accounting functions, grant activity, accounting system maintenance and improvements, payroll, purchasing activity, financial reporting activity and budget preparation to identify areas of process and cost improvement along with risk avoidance.
    • Ensures effective financial internal controls and continually evaluates established policies and procedures, and updates or modifies them when necessary to maintain compliance with evolving regulations, legal requirements, and industry trends by identifying and implementing best practices and staying abreast of emerging trends and bringing innovation to the College.
    • Assists management with special projects and reports as needed.
    • Expands professional knowledge through training, classes, and seminars.
    • Performs other related duties as assigned.

    MINIMUM REQUIREMENTS TO PERFORM WORK:

    • Bachelor’s degree in accounting, finance, business administration or closely related field; Master’s degree preferred.
    • Eight (8) years of professional experience in accounting, auditing, banking or finance, preferably within a higher education, governmental, or non-profit accounting environment.
    • Must have three (3) years of supervisory experience.
    • Preference may be given to applicants who possess and maintain CPA certification.
    • Must have knowledge of Microsoft Office Suite, utilizing Outlook, Word, Excel and Microsoft Teams, including spreadsheet design, financial modeling and financial analysis, or related enterprise-wide accounting and reporting software skills necessary to create and maintain reports and logs; strong Excel spreadsheet skills and experience with Jenzabar is highly desirable.

    KNOWLEDGE, SKILLS AND ABILITIES:

    • Excellent communication, negotiation, and interpersonal skills.
    • Knowledge of GAAP and fund accounting.
    • Ability to create financial statements; strong financial reporting background.
    • Ability to assist and manage general ledger functions, the fiscal year-end close process, and the annual financial and compliance audit of the College.
    • Ability to analyze data and write clear and concise financial narratives and reports.
    • Knowledge of enterprise-wide central accounting and reporting software systems; strong computer skills.
    • Knowledge of non-profit accounting principles and processes.
    • Knowledge of leadership and techniques for working with groups and fostering effective team interaction to ensure teamwork is conducted smoothly.
    • Knowledge of modern equipment and communication tools used for business functions, projects, and task coordination.
    • Ability to organize, plan, oversee, manage and prioritize work; strong analytical, communication and writing skills.
    • Ability to communicate financial information effectively to all internal and external constituents both orally and in writing.
    • Ability to inspire and lead teams towards achieving strategic objectives.


    PHYSICAL DEMANDS:

    Requires sedentary work that involves walking, standing, lifting, carrying, pushing and pulling some of the time and involves exerting up to 10 pounds of force on a recurring basis or routine keyboard operations. The work requires the following physical abilities to perform the essential job functions: balancing, hearing, mental acuity, speaking, standing, talking, visual acuity, and walking.
