  • Summary of Responsibilities:

    Under general supervision, the purpose of the position is to provide administrative and clerical support to the office of the District Clerk. Employees in this class prepare correspondence, records and other documents; provide clerical and secretarial assistance to the District Clerk, receive incoming mail, assist callers and visitors, and maintain files and records. Performs related work as required.

    Essential Responsibilities and Functions:

    The list of essential functions, as outlined herein, is intended to be representative of the tasks performed within this classification. It is not necessarily descriptive of any one position in the class. The omission of an essential function does not preclude management from assigning duties not listed herein if such functions are a logical assignment of this position.

    • Provides general clerical and administrative support for 2 District Judges, County Court at Law, Attorney General Judge, CPS Court at Law, which involves answering correspondence; preparing, maintaining and distributing court agendas, public notices, surveys and reports.
    • Maintain and process all Jurors and Grand Jurors files, excuses and payments.
    • Maintain all civil court files in accordance with state statue Local Government Code 201-205.
    • Assists the office of the District Judge's, County Court at Law, Attorney General Judge, CPS Court at Law with state & federal reporting requirements. Maintain files and track data.
    • To keep and protect the Civil Records of the 52nd, 440th, County Court at Law, Attorney General Judge, CPS Court at Law in compliance with the State Constitution and State Statutes as they relate to serving the citizens, and by fulfilling the statutory duties required as the custodian of such records through the promotion and direction of professionalism and cooperation among the District Clerk's staff.
    • The Civil Clerk is also charged with the disbursement of bonds of all child support payments by the Courts.
    • Collects District Clerk fees and Court costs and County Court at Law civil fees, bond fee, and expunction fees.
    • Process Pro Se Information

    Knowledge, Skills and Abilities:

    • Knowledge of administrative and procedural policies and regulations pertaining to District Clerk's Office
    • Knowledge of equipment and techniques of providing general office/clerical support
    • Knowledge of data entry and retrieval using automated information systems
    • Time management skills and problem-solving skills
    • Ability to work independently under general direction
    • Ability to deal effectively and courteously with all levels of employees, elected officials and the general public
    • Ability to multi-task and handle a wide variety of conditions

    Minimum Qualifications:

    • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook
    • Considerable administrative training, record keeping and calendar management experience
    • Excellent oral and written communication skills
    • Must be detailed oriented, punctual and dependable
    • Excellent interpersonal skills
    • Ability to work under pressure
    • Excellent organizational skills to include ability to prioritize
    • Experience working a multi-line phone system a plus

    Minimum Educational Requirements:

    • High school diploma or General Education Degree (GED)
    • Two (2) semesters (30 hours) of formal business/secretarial school or college courses; Degree preferred
    • Five (5) years of general office and secretarial experience
