    Department Summary

    The School of Computer Science and Engineering educates students in the disciplines of computing theory and machinery, and teaches them to apply their knowledge in a socially responsible way. The School educates students in the intellectual basis of the field, including issues of computability, information theory, and engineering, as well as the technology. Our graduates can design and implement the technology of computing and data communications with a deep understanding of the bases upon which these technologies rest. In addition to preparing professional workers for industry, we educate those students who wish to pursue an advanced degree or career in academic or industrial research. Students may study for the BS or MS in Computer Science, the BS in Computer Engineering, the BS in Bioinformatics, or the BA in Computer Systems.

    Job Summary

    Under the general supervision of the Dean of Natural Sciences, the Administrative Support Coordinator for the School of Computer Science and Engineering will coordinate, be responsible for, and carry out administrative coordination support to the School of Computer Science and Engineering.

    Responsibilities include, but are not limited to:
    • Coordination of the clerical and administrative support functions for the school of computer science and engineering (CSE).
    • Provide excellent customer service to students, faculty and other departments and colleges on campus, drawing on broad knowledge and interpretation of departmental and university policies, procedures and practices.
    • Maintain and schedule calendar for the Dean and Director.
    • Assist CSE School Director with the production of the course schedules each semester. Responsible for releasing seats in conjunction with SOAR dates and waiving approved prerequisites for SOAR attendees.
    • Maintain, gather, analyze data and information for various purposes including monitoring class rosters, book orders, faculty office hours, course syllabi, compile and prepare various reports.
    • Interacting with a variety of campus and community members including: working with students, faculty and staff to assist them or resolve complex problems; network to build campus relationships; serving as a primary contact and/or resource to outside parties, such as vendors, or governmental agencies, and/or top level administrators.
    • Preparation, distribution, collection and submission of SOTE's.
    • Coordinate and implement the yearly mandatory student advising and remove student advising hold.
    • Responsible for preparing and maintaining key requests for student club, research assistants, and part-time lecturers.
    • Coordinate the student's seminar schedule for presentations on supervised courses.
    • Assist the graduate program by working with graduate coordinator for admissions and graduate coordinator for advising.
    • Assist with five-degree programs' ABET and WASC accreditations by collecting, organizing and maintaining assessment materials.
    • Responsible for maintaining and ordering office supplies via Staples, procurement card or via PeopleSoft; submit facilities work orders; preparing requisitions, and submitting printing requests.
    • Oversee the student assistants in the department and provide lead work direction and training; collect monthly student assistant timesheets and submit to the Dean's Office.



    Employment Status: Full-time, Probationary, "Non-exempt" position.

    Work Schedule

    Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.

    Key Qualifications
    • Fully functional in all technical aspects of work assignments.
    • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
    • Thorough knowledge of English grammar, punctuation, and spelling.
    • Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
    • Ability to independently handle multiple work unit priorities and projects.
    • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
    • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
    • Ability to draft and compose correspondence and standard reports.
    • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.

    Education and Experience
    • High School diploma or its equivalent AND three years of experience in general office clerical or secretarial work or the equivalent.

    Preferred Qualifications
    • Knowledge of PeopleSoft or similar enterprise-wide application is desirable.
    • Experience in higher education and administrative support preferred.

    Salary

    Anticipated Hiring Range: $3,400 per month

    Classification Salary Range: $3,338 - $4,097 per month
