Job Brief

The Sales Support Associate (SSA) has a vital role in that they provide technical support and customer service to the Fleet Sales and Truck Service departments’ staff and customers.  The SSA position also plays a vital role working with the Manager of Sales Support , Regional Directors, VP’s and other Internal departments including but not limited to; credit, compliance, customer service, accounting, auditing, Systems.  Externally, they are responsible for communicating daily with the Merchant Services team at all third party card companies, merchants, vendors and serve as the primary contact for fleet customers.

Duties and Responsibilities

1. Primary contact for Fleet customers, responding to inquiries and customer issues, fulfilling requests for sale related materials and other items using independent judgment making customer/business based impactful decisions.
2. Coordinates with Fleet Sales VP’s Directors, Management, Account Managers and Sales Reps to establish pricing proposals to be presented to the customers, including solicitation of franchises for pumping fees.
3. Updates customer email preferences in the Central Customer Repository of shop sales data.
4. Responsible for processing and administering internal paperwork required to establish or amend fleet pricing deals, input agreements and pricing into TA’s internal billing system and ensure accounts run efficiently after set-up.
5. Manages the process of opening new third part accounts, including communicating with the third party billing companies, verifying fuel codes and carrier information and completing account setup.
6. Works with customers, third party billing companies and internal and external associates to ensure customer satisfaction is established and maintained through efficiency and professionalism.
7. Key contact for Customer Resolution, inquiries and reporting.
8. Accountable for numerous analytical reports internally and externally.
9. Organizes conferences and trade-related shows, departmental sales meetings and specific customer events/gatherings.Independently Review and Approve associated vendor expenses.
10. Consults with corporate communications and outside vendors in selecting marketing items for the department.Monitors and maintains inventory levels and tracks expenses to ensure adherence to budgetary guidelines and makes suggestions to the Management team.
11. Collaborates with other departments to set up new customer accounts.Collects all required documentation reviewing for accuracy and timely completion of the new set-ups.
12. Processes Volume/Confidential and DEF Rebates on a Monthly basis
13. Responsible for meeting SOX compliance rules and regulations as they pertain to Fleet Sales procedures and ensure that supporting documentation is properly maintained.
14. Manages the Fleet Sales travel store and restaurant gift card program through gift card activation, maintaining inventory and performing monthly reconciliation with the Accounting department by thoroughly generating and monitoring invoices/payments for billing gift card orders to customers.
15. Contributes to the development of Fleet Sales database and system releases then provides final feedback and consultation prior to approval/ authorization for the execution and launch of any database upgrade within the department.
16. Assists with Project Management, team objectives, idea generation and implementation
17. along with continuous training and development efforts.
    Provides process support/guidance to Interdepartmental employees including but not limited to Fleet Sales, Truck Service, NTN, Reconciliation, Accounts Payable, Accounts Receivable, Customer Service, Credit, Auditing, Restaurant, Store, Franchisees and Field Operations when needed.
18. Primary person to carry out major assignments and projects while researching and collaborating with other departments that directly impact and affect business operations.
19. Attends both Sales Support and Regional Sales weekly meetings/calls.
20. Represents TA at Trade Shows, customer visits, conferences, company sponsored seminars, meetings and training programs.
