Essential functions and responsibilities:

• Establishes, develops and maintains business relationships with current customers and prospective customers in the Asia market to generate new business for the organization’s services
• Makes telephone calls and sends information to existing and prospective customers promoting our Manufacturing services for our Brand’s products and/or private formulations. In-person visits and performs presentations
• Participates in trade shows and conventions. Supports the preparation for materials, promotional items, etc. Meets the existing customer and contacts new leads
• Develops written quotations for current and prospective customers detecting customer needs and obtaining basic information internally to facilitate the quotation process
• Sends samples directly to existing customers and new leads
• Answers specific questions regarding products and their benefits, packaging, logistics, registration issues or lead times, etc.
• Responsible for the processing and data entry of orders, invoicing and shipping using Visual software
• Responsible for preparing and obtaining necessary export documentation
• Requests freight forwarder quotations
• Responsible for preparing Letter of Credit documentation in liaison with the Accounting Department
• Participates and collaborates with Accounting Department in matters of collections
• Coordinates shipments and assures compliance with regulations abroad
• Creates, inputs and maintains codifications for Master Formulas and finished products in the Company’s database
• Resolves discrepancies in Receiving documentation
• Processes transactions of material returns
• Supports inventory control of materials
• Creates Registration requests, Stability studies for product requests, Samples requests, and additional documents requests for registration and/or registration renewal
• Follow up the registration process and payment of registration fees with each customer
• Prepares monthly reports (invoicing, summary of quotes sent, sales report, samples, etc.) and continuously updates the Order Status (Order on Hold, Released, and Order pending for shipping) for each customer
• Maintains accurate records for each customer (quotes, prices, packaging, specifications, and complaints)
• Keeps open communication with Manufacturing Department, Laboratory, Registration, Regulatory Affairs and Administrative Department
• Provides feedback to management regarding customers
• Expedites the resolution of customer problems and complaints
• Provides management with oral and written reports on customer needs, problems, interests, competitive activities, and potential for new development of products and services
• Participates in liaison with R&D in the development of the new products to be launched every year
• Contributes to team effort by accomplishing related results as needed. Works well with others, cooperating and supporting co-workers.
• Performs other clerical duties as requested

Qualifications:

• Bachelor’s degree
• 1 – 3 years’ experience
• Bilingual: English and Spanish (required)
• Demonstrated aptitude for problem-solving; ability to determine solutions for customers (consultative sales approach)
• Must be results-orientated and able to work both independently and within a team environment. Must possess excellent verbal and written communication.
