Natchez Trace Youth Academy is a highly-structured 115-bed cognitive behavioral program serving adolescent males aged 10-17 years old. Our interdisciplinary staff helps residents refocus their thinking patterns in order to improve their actions/behavior. We are located in the beautiful hills of Tennessee between two magnificent rivers, just 15 miles south of Waverly, Tennessee.     Job Summary:

    Join us in embracing the thrilling journey of leadership within a behavioral health residential treatment setting. Leverage your exceptional leadership skills as the Director of Admissions-Residential Services. In this pivotal role, you will be responsible for the comprehensive oversight of the facility’s Admissions Department, playing a vital role in guiding the entire admission process.

    As the Director of Admissions, your core responsibilities will encompass the development and maintenance of departmental procedures in critical areas such as census management, census records, inquiry calls and referral tracking. You will ensure that our treatment and clinical services meet the highest standards of quality and are tailored to the individual needs of each patient.

    Your role extends to coordinating all admissions into our facility, fostering close collaboration with our clinical and nursing staff, department heads, and external agencies and payers. You will also take charge of managing the department's budget, implementing policies and procedures, ensuring regulatory compliance, driving service excellence, and overseeing data management and analysis.

    Job Duties/Responsibilities:

    • Knowledge of Residential Admissions Department techniques and accepted procedures
    • Proficient in effective verbal and written communication
    • Demonstrates exceptional abilities in prioritization, thriving under high-stress situations, multitasking, and employing critical thinking skills
    • Possesses a deep understanding of funding entities and a comprehensive knowledge of psychiatric services offered by the hospital
    • Proficient in basic computer operations and demonstrates precision in data entry
    • Well-versed in insurance contracts and payor systems, including precertification processes for different levels of care
    • Exhibits excellent telephone etiquette and delivers exceptional customer service, fostering positive and constructive communication with colleagues, patients, visitors, families, and referral sources
    • Consistently applies service excellence skills in all interactions
    • Directs the screening of potential patients for admission into the residential program and initiate the integrated assessment process
    • Gathers appropriate documentation to enable appropriate admission into residential program
    • Assures appropriate information of daily census and potential admission information and evaluates insurance verification information
    • Monitors all intake/appointment information calls and prepares appropriate forms
    • Functions as a liaison between physicians and families, coordinates with transportation services and other mental health facilities to organize the admission procedures
    • Plans, coordinates and assures travel in place for all patient admissions
    • Ensures that all vital patient clinical review information is referred accurately to the attending physicians, and that patient historical information obtained is complete to facilitate an accurate determination for the appropriate level of care
    • Communicate with external reviewers and referral sources. Conduct all required external reviews and maintain documentation of all such interaction
    • Ensure that referral sources are notified of, or participate in, decisions about appropriate transitions between levels of care
    • Prepares morning meeting reports to communicate pertinent census information, referral sources, pending admissions and follow-up action pending admissions, pending discharges and nature of discharge
    • Provides guidance to community resources available to person inappropriate or unavailable for admission but who are requiring further guidance and referrals
    • Assures follow-ups are completed daily to expedite and increase communication with patient, family, referral sources, and hospital leadership
    • Assure patient’s rights are upheld in compliance with all state and federal regulations
    • Participates in new employee orientation for all departmental staff
    • Ensure the department meets CARF, Medicare and federal and state regulatory requirements
    • Adhere to facility, department, corporate, personnel and standard policies and procedures
    • Attend all mandatory facility in-services and staff development activities as scheduled
    • Adhere to facility standards concerning conduct, dress, attendance and punctuality
    • Support facility-wide quality/performance improvement goals and objectives
    • Maintain confidentiality of facility employees and patient information

    Qualifications:
    Education:
    Master's degree required in a clinical field that is licensure eligible. At least three (3) years experience managing a clinical team required. Must be trained in Crisis Prevention Intervention (CPI).

    Experience:
    Preferred qualifications include a minimum of five (5) years of direct clinical experience in a psychiatric or mental health setting. An RN may be considered for this position.
