Associate Dean of Arts and Sciences assists Dean with the management of administrative functions of the college of Arts and Sciences. Collaborates with Dean on planning college strategic initiatives and supports on college fundraising. Being an Associate Dean of Arts and Sciences provides administrative leadership in areas of curriculum development, institutional assessment and improvement, human resource, faculty development and performance appraisals, budget and finance, and facilities planning and management. Typically requires an advanced degree. Additionally, Associate Dean of Arts and Sciences typically reports to a Dean. The Associate Dean of Arts and Sciences typically manages through subordinate managers and professionals in larger groups of moderate complexity. Provides input to strategic decisions that affect the functional area of responsibility. May give input into developing the budget. Capable of resolving escalated issues arising from operations and requiring coordination with other departments.     Position Summary :

    CMI is seeking an associate meeting planner to collaborate closely with our team and key stakeholders to plan and manage one-day workshops, educational programming, receptions, dinner symposia.

    Responsibilities of the Associate Meeting Planner will also support light administrative duties for the Meeting & Event Department including supporting various key stakeholders of the department.

    Your creativity, attention to detail, and exceptional organizational skills will be essential in ensuring the success of these meetings and events.

    DUTIES & RESPONSIBILITIES :

    • The duties and responsibilities include, but are not limited to :
    • Plan and coordinate 1-Day and 2-Day events, symposiums, and board dinners / retreats from assisting in venue selection to final reconciliation.
    • Coordinate assigned meetings from start to finish, including hotel contracts, vendor contracts, rooming lists, event orders, audio-visual, on-site staffing, budget management, and processing invoices and expense reports.
    • Collaborating with other departments and agencies for high-quality event production by maintain timelines within project management platforms.

    Organize pre-, on-site, and post-meeting activities including marketing, signage, communications and onsite materials.

    Liaise with vendors, contractors, and suppliers to ensure seamless event execution. Managing logistics to ensure flawless execution.

    Review invoices, expense reports, and meeting materials for accuracy

    • Working in coordination with the Speaker Coordinator to align on speaker tasks and due dates, hotel and travel.
    • Working in collaboration with Registration & Meeting Coordinator on home office organization, inventory as needed and reordering, shipping and unpacking for meetings as well as event registration and reporting.
    • Produces Virtual Events for select programming and works with confirmed speakers to schedule virtual event rehearsals and recordings and conducts recordings via Zoom in accordance with established best practices.
    • Communicate regular updates within the department, across staff teams, and to external clients.
    • Travel to 10 meetings a year (local to the metropolitan area and with domestic travel)
    • Analyzing event operations for improvements and guest satisfaction.
    • Oversee on-site event logistics, ensuring everything runs smoothly. Provide on-site assistance to members, speakers, vendors, sponsors and others following all expectations for white glove service.
    • Other duties as assigned.

    Preferred Qualifications :

    • 2-5 years of meetings experience, preferably for a medical professional association, association management firm, or hospitality industry
    • Excellent customer service skills for extensive interactions with clients, industry leaders and vendors
    • Ability to pay close attention to detail with a high degree of accuracy
    • Strong communication (written and verbal), proofreading, time management and organizational skills
    • Problem solving and organizational skill, analytical thinking, and ability to work on multiple tasks independently as well as collaboratively in a team environment to meet tight deadlines
    • Professional-level meetings commitment, including some evenings and weekends consistent with timing of meetings and related to preparation and execution;

    overnight and weekend travel is estimated at 10%, primarily in the spring and fall

    • Proficiency with MS Office required.
    • Skills and Knowledge- Proven ability to adapt to changing priorities in a fast-paced environment, organized; proactive and positive communication skills;
    • customer-service minded approach to work; maintain a high level of professionalism and responsiveness internally and externally;
    • attention to detail; proven ability to analyze data and present findings; knowledgeable in various software applications including MS Teams, databases;

    experience with Fonteva Salesforce module and Workfront preferred; the ability to think, plan, and execute resourcefully both independently and as part of a team.
