JOB SUMMARY
Under the direction of the IAS director, the IAS Program Coordinator provides administrative support to staff and coordinates programs and outreach at the IAS. This work includes: processing and tracking all expense reimbursements; submitting orders through Procurements; making travel arrangements, processing Travel Advance authorization and Post Travel forms; and performing a variety of administrative functions. The IAS Program Coordinator provides logistical support and oversight in the planning and execution of events and exhibitions. They also execute social media campaigns and, working with IAS and Arts Division staff, oversee communications and publicity.

Salary Information: Salary Range: $30.63 - $35.79 / Hourly. Salary commensurate with skills, qualifications and experience.

JOB DUTIES
35% - Provide administrative support for IAS
- Maintain a thorough understanding of all general divisional financial processes, policies and procedures in order to adhere to all University policies and procedures. Assist in submitting and maintaining accurate records for timely action or retrieval of those records for audit or other purposes.
- Process all travel arrangements, procurements, and reimbursements for IAS Staff and collaborators. Process financial paperwork in a timely manner, in accordance with relevant campus policies.
- Make all logistical travel arrangements for IAS staff, speakers, artists in residence, and other visitors.
- Provide support at IAS meetings, including arranging logistics and maintaining meeting notes and records.
- Oversee IAS record keeping and project management systems.
- Maintain IAS intern schedule.
35% - Publicity, communications, and graphic design
- Coordinate with IAS staff, Arts Division staff, and University Relations and Communications on weekly emails, press releases, and announcements in conjunction with exhibitions and events.
- Coordinate with IAS staff, Arts Division staff, and University Relations and Communications to maintain IAS mailing lists.
- Create social media posts and campaigns, with IAS interns and staff.
- Oversee public and student outreach efforts for IAS programs.
30% - Provide event and exhibition logistical support
- Manage logistics for exhibitions, events and visits, including:
- Coordinating with IAS staff and collaborators for art shipping and handling.
- Working with University Relations Special Events to plan and host large-scale events.
- Coordinating and hosting small events, including sourcing refreshments, providing directions, parking details, etc.
- Providing support for exhibition and event related travel.
- Oversee and calendar event and exhibition communications.
REQUIRED QUALIFICATIONS
- Excellent interpersonal and verbal communication skills
- Excellent written communication skills
- Strong proofreading skills with excellent attention to detail
- Demonstrated organizational skills
- Demonstrated ability to work effectively in an environment with a high volume workload with frequently shifting, and at times competing, deadlines and priorities
- Experience using word processing, spreadsheet, and database systems, with the ability to learn new systems; Typing / data entry skills sufficient to prepare correspondence and forms with accuracy and moderate speed
- Demonstrated hospitality skills and event experience
- Excellent recordkeeping skills
- Ability to work effectively both as part of a team and individually
- Demonstrated commitment to embracing diversity in all its forms and striving for an inclusive community that fosters an open, enlightened, and productive environment
PREFERRED QUALIFICATIONS
- Graphic design and website development skills
- Interest in contemporary art and knowledge of contemporary art history
SPECIAL CONDITIONS OF EMPLOYMENT
- Selected candidate will be required to pass a pre-employment criminal history background check.
- Ability to work long periods of time at a computer with or without accommodation.
- Will be required to work all scheduled hours on-site.
- Ability to work occasional evenings and weekends as directed.
- Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
