Associate Dean of Humanities assists Dean with the management of administrative functions of the college of humanities. Collaborates with Dean on planning college strategic initiatives and supports on college fundraising. Being an Associate Dean of Humanities provides administrative leadership in areas of curriculum development, institutional assessment and improvement, human resource, faculty development and performance appraisals, budget and finance, and facilities planning and management. Typically requires an advanced degree. Additionally, Associate Dean of Humanities typically reports to a Dean. The Associate Dean of Humanities typically manages through subordinate managers and professionals in larger groups of moderate complexity. Provides input to strategic decisions that affect the functional area of responsibility. May give input into developing the budget. Capable of resolving escalated issues arising from operations and requiring coordination with other departments. Administrative Office Associate I (English & Humanities)

  • SUMMARY STATEMENT
    The Administrative Office Associate provides administrative and clerical support to the Division Director, the full time and part time faculty and serves as division receptionist. This position also provides assistance for students and others as needed.

    ESSENTIAL DUTIES:
    • Provides technical assistance to the Division Director in developing and maintaining the credit schedule.
    • Retrieves data from the system as needed and disseminates information to appropriate individuals.
    • Inputs all scheduling information for the division via the Datatel database for each new semester.
    • Identifies and assists in resolving room and other scheduling conflicts and coordinates with theater technical director and departmental coordinators to maintain and update the schedule of all departmental activities.
    • Updates schedule changes in the Datatel system and disseminates that information appropriately.
    • Coordinates closely with the IT Department to resolve Datatel scheduling issues.
    • Runs and maintains box office/set up of ticket sales using Square account. This includes working closely with Finance to deposit cash and present reports of ticket sales.
    • Assists students in scheduling Applied Music Lessons.
    • Provides administrative assistance and support to the Division Director and the full and part time faculty.
    • Serves as receptionist/message center for the division as workload dictates, and serves as liaison for full and part time faculty.
    • Maintains division master calendar of workload deadlines.
    • Prepares purchase orders and requests for checks.
    • Provides administrative assistance with the division budget, tracking day-to-day transactions, and submitting budget report information to Division Director.
    • Orders, organizes, and maintains office supply inventories and instructional materials.
    • Contacts suppliers and companies for quotes on purchases (equipment, software, etc.)
    • Assists in the preparation of faculty load forms for the Division Director.
    • Supervises student workers/volunteers working in the division offices.
    • Participates in the faculty evaluation process as assigned.
    • Disperses mail, faxes, packages and miscellaneous paperwork to division personnel.
    • Assists Division Director in scheduling advisory committee and other division meetings to include securing rooms, preparing agendas, ordering refreshments and typing minutes.
    • Maintains, secures, and updates curriculum and other division files as directed by Division Director.
    • Participates in training sessions, educational opportunities and ad hoc committee work which advance professional development.
    • Assists full and part time faculty with computer applications. Serves as liaison with IT Department.
    • Creates and maintains the faculty textbook selection order database prior to each new semester and provides the information to the bookstore.
    • Maintains SLOA databases for the division
    • Manages Kepler Square/Weebly website with events, tickets, and digital showcases.
    • Provides assistance to students and others.
    • Handles inquiries /requests from students and refers them to appropriate staff if unable to assist.
    • Informs students of schedule changes and/or class cancellations and posts cancellations outside classroom as appropriate.
    • Maintains the computer lab: orders paper, ink cartridges, track it requests for repairs, clearing paper jams for students, supplying the lab daily with paper.
    • Provides administrative and clerical assistance for instructional-related projects.
    • Provides technical and specialized clerical assistance for instructional-related projects, e.g. grant applications, presentations, division publications.
    • Provides other administrative and clerical assistance as needed.
    • Participates in all new and returning adjunct intakes. Explains, reviews and processes the paperwork, documentation, proof of citizenship, etc. for newly hired adjuncts for the division.

    Requirements:
    EDUCATION AND EXPERIENCE
    Associates degree required; 2-3 years clerical and administrative experience in an education setting required.

    SKILLS AND ABILITIES:
    • Must have excellent skills in computer applications such as Microsoft Word, PowerPoint, Excel, access, e-mail (Outlook preferred); and good telephone skills including the use of a multi-line phone.
    • Ability to: use an integrated computerized system (Datatel experience preferred), communicate with tact and diplomacy; organize and prioritize work requests; complete tasks in a timely manner with minimal supervision; learn new technology and systems; help comply to federal and state laws that affect the division; think critically; make decisions independently; and attend to details.
