The position of School Registrar reports to the school President and Principal.
This position supports the needs of the Dean of Counseling, Director of Admissions, Business Office, School
Assistant Principal and the Dean of Students. The primary role of the School Registrar is to
maintain updated data in the school’s SIS system for report cards, progress reports, contact
information, attendance, transcripts and family accounts. The School Registrar provides
statistical summary reports, develops a course schedule matrix for the scheduling of all students
and works collaboratively with the counseling department to conduct annual student transcript
audits.
Data Management and Communications
-Maintain accurate records of student/family/staff contact information.
-Collaborate with the Administrative Assistant-School Operations to ensure that
changes in contact information are updated.
-Update student photos, parent contact information into the Rediker Plus Portal
system by October of each year.
-Provide the Technology Coordinator as well as Marketing Director with parent email
contact information
Gradebooks, Report Cards and Transcripts
-Create student rosters and gradebooks for teachers.
-Create and communicate timelines for teacher grade submission, review of
student grades for issuing electronic progress reports and report cards.
-Provide special grade reports to administrators for “D” and “F” students,
students at risk.
-Compile information for the honor roll for each semester and provide to school principal
and school communications department once approved by the principal.
-Print final transcripts at the end of the school year for the counseling department.
-Provide counseling department with transcripts for Junior and Senior students for
counseling department.
-Provide alumni with transcripts upon request (fee applied through Business Office)
Attendance and Enrollment Data
-Maintain daily student attendance reports for teachers and administration and staff.
-Maintain daily staff attendance reports for the Business Office.
-Maintain attendance reports for the principal’s End of Year reports to the
Diocese.
-Provide monthly enrollment reports to the school President and Principal
-Contact parents for confirmation when a student withdraws.
-Collect, organize and send outgoing student records to requesting schools.
Course Scheduling
-Develops course schedule matrix and course section list annually in consultation with
administration for the scheduling of all students
-Works with administration regarding course description input/changes/edits for
scheduling.
-Inputs all course registration selections for students as submitted by counseling
department.
-Designs scheduling matrix, resolves major scheduling conflicts, and reviews teacher
class assignments and class sizes with administration.
-Assists the counseling staff in resolving course conflicts and revising schedules.
-Produces & e-mails schedules for all students using agreed-upon timelines.
Reports
-Provides statistical reports as requested by the school President for NEASC, NCEA,
state, federal and local grant applications as well as for school communications.
-Provide student data and admissions reports as requested by the diocese, school
Business Manager and Director of Admissions and Enrollment.
SKILLS
Considerable knowledge of modern office practices and procedures with specific reference to
records management, school curriculum, and course credit system; considerable knowledge of
business English, vocabulary, spelling, and math. Ability to verify incoming records, maintain a
complete record system and assemble and organize data and prepare reports from such
records; ability to work independently and to exercise tact and sound judgment in working with
confidential information; ability to make student referrals to appropriate school personnel, make
decisions in accordance with established policies and procedures, and maintain clerical records
and prepare reports. Ability to work effectively with students, administrators and instructional
staff, and other school, diocesan employees. Skill in the proficient operation of technology to
operate a data system; skill in operating word-processing equipment. Excellent human relations
skills.
EDUCATION AND TRAINING
Associates degree required. Coursework in guidance or counseling. Bachelor's degree preferred.
Two plus years experience working with students in a school system including some experience.
Working knowledge of MS Office Suite of products, database software. Other combinations of
applicable education, training, and experience which provide the knowledge, abilities, and skills
necessary to perform effectively in the position are considered.
