Detailed Job Description
The Associate Registrar manages, supervises and leads direct services to students and academic departments relating to the academic record of current and former students. Key areas of responsibility include the coordination and management of the following functions and processes: evaluation of transfer credit for both prospective and current students and the university transfer credit system; the articulation rules for advanced placement, international baccalaureate, CLEP and other similar credit by exam programs; coordination with admissions and orientation on all communications and activities related to the office; the matriculation of new students and related records maintenance in coordination with Enrollment Management; the non-matriculated student quick admit process; program-plan changes for all students including change of majors, minors and immersions; end of semester academic action; processing of university withdrawals and leave of absences; functional implementation of eForms; direct services delivered by phone and in-office including the coordination of staffing schedules for both; transcript and enrollment verification services.
Responsibilities:

Supervises the maintenance of the external credit articulation rules engine in the Student Information System for all RIT campuses. Supervises the coordination with Admissions, Academic Department Chairs and Associate Deans to identify the data, information, and operational needs of end users and other stakeholders related to transfer credit review and approval.

Manage and coordinate with all admissions offices the ongoing matriculation of new students along with related student records updates and maintenance. This includes student withdrawals and deferrals as well as the student no-show process at the start of each term.

Manage the university withdrawal and the leave of absence process for the university, including the following: managing the workflow processing of the forms; manage training and documentation for students, academic departments and advisors related to these processes; manages the important coordination with other student services offices; ensure compliance with audit requirements.

Manage the functional implementation of new eForms replacements to current pdf forms. This includes supporting the development and testing of new forms and leading the campus training and communications related to the roll-out of new forms.

Supervise the quick admit process for all non-degree students, including the important oversight of the records for project-lead-the-way students and our partnership with Rush-Henrietta Central School District.

Direct and manage the staff and processes related to our direct service to constituents via our phones and walk-in services. This includes managing the schedule of staff involved with these services.

Hire, train and supervise four senior staff assistants and the Assistant Registrar for Transfer Credit Management. Responsible for all transactions and direct service for these areas of responsibilities. Including key student records transactions such as the following: change of academic programs and plans (majors, minors, immersions) and change of grades.

Manage the end of semester academic action process, which includes coordination with RIT colleges (department chairs and advisors) in the determination of students to be placed on academic probation and academic suspension and managing subsequent updates to student records.

Oversee the University transcript and enrollment verification processes.

Supervises the advanced placement credit, international baccalaureate credit, and Cambridge exam credit articulation process, including the annual review and agreement on articulation rules in coordination with Undergraduate Admissions and academic departments. Develops and delivers documentation and training sessions to those involved with transfer credit approval.

Exhibit a strong working knowledge and the ability to interpret all applicable university policies and procedures, FERPA and federal guidelines protecting academic records.

Education/Experience:

Advanced degree or equivalent experience.

Minimum of three years of related experience.
Skills:

Must possess good written and oral communication skills, strong customer service orientation, as well as a demonstrated ability to work collaboratively with others.

Must work independently with minimal supervision and exercise professional judgment in carrying out all assigned responsibilities.

Ability to prioritize work and a strong commitment to teamwork are key.

Must be able to build and maintain key relationships with a wide range of academic and/or other student service departments.
