Location: RSU 57 School District
Reports to: Superintendent of Schools
Job Goal: Ensure accuracy and quality of district-level student records - receiving, sending, archiving.
Qualifications:
1. High School Diploma or GED as required by Maine Department of Education.
2. Valid State of Maine Department of Education fingerprint certification.
3. Participation in ongoing inservice training.
4. 5 years successful school district administrative assistance experience preferred; experience with Learner Management System(s), State database(s) preferred.
5. Thorough knowledge of FERPA, excellent written and oral communication skills, and the ability to interact positively and collaboratively with a variety of people.
6. Successful background, criminal records, fingerprinting, and reference check.
Performance Responsibilities:
1. Works with directors (Director of Technology/Director of Curriculum, Instruction, and Assessment).
2. Coordinates with: Building Administrators, Directors, Special Education, Truancy Officer, Food Service, other district reporting agents, and cooperating external agencies to maintain best practice consistent with state guidance on maintaining accurate student records.
3. Works with directors to continuously optimize workflow and protocol as it relates to student records.
Such duties include but are not limited to:
Gathers and verifies district data for internal and external reporting.
Serves as the initial point of registration for all new student registrations to the District.
Maintains oversight on distribution and initial review of the student file of all incoming students by vital departments and employees (admin, guidance, nurse, classroom teacher, special education, truancy officer, etc.).
Serves as final point of transfer for all students leaving the District.
Aids the directors in ensuring that supports and services are properly documented, prompted, and recorded in appropriate data base/s.
Establishes regular communication with directors, building administration and staff, regarding changes to student records keeping.
Facilitates professional development through [presentation and facilitation of training to support workflow and introduce protocol for staff.
Participates in meetings as needed, follows through on tasks discussed, and accurately shares information with other staff members as requested.
Participates in ongoing professional development to stay current on software and matters related to student records practices.
Communicates with the directors as to ongoing regulatory and reporting matters related to student records.
Maintains up-to-date and accurate students records in the MDOE data warehouse (NEO).
Acts as a liaison between the building secretaries with regard to student records and proper data input.
Always works in a manner that meets professional responsibilities regarding regular and special education requirements. This includes attending meetings and related consultations as directed, maintaining knowledge of students goals, progress, and accommodations attending and documenting professional development as directed, maintaining confidentiality (FERPA) of student information, and following school board policies and procedures at all times.
Completes other duties as assigned.
