    Job Summary
    The Office Manager is responsible for support functions in the Foreign Language Teacher Education Program (50%) and for the Facilities Office at the School of Literatures, Cultures and Linguistics (50%).

    Duties & Responsibilities

    Foreign Language Teacher Education (FLTE) program:

    • Primary office support for FLTE: receptionist, answer phone calls, respond to electronic messages and general inquiries, receive, respond, and route mail appropriately. Monitor and update master calendar. Assist the Director with communications with various external entities. Regularly communicate with each of the various departments in SLCL to make sure that students are in the correct path to receive their teaching certification.
    • Maintain the unit’s confidential records and files: generate, collect, and maintain documents and evaluations critical to ongoing operations for the FLTE program. Prepare, submit, and maintain periodic forms. This includes frequent follow up and communication with units outside of the university.
    • Maintain the FLTE database for record keeping: collaborate with the Counsel on Teacher Education (CoTE) office to update and input data for the CoTE Intranet website. Retrieve reports from this database to assist the Director in monitoring candidate progress through all State of Illinois requirements for teacher certification.
    • Organize meetings of the Foreign Language Area Committee. Assist the Director in taking minutes and distributing materials for the meetings.
    • Maintain the Director’s calendar and prepare materials accordingly. Coordinate logistical arrangements relating to conferences, meetings, and travel for the Director. Sign documents for the Director, as requested.
    • Update and maintain the FLTE website.
    • Complete day-to-day financial processes such as collecting, reviewing, and preparing travel reimbursements, and event planning for the Director and other FLTE staff.
    • Gather information and coordinate faculty and graduate assistant appointments with SLCL human resources personnel.

    Facilities:

    • Maintain school key inventory and disseminate to faculty/staff as instructed by designated departmental staff.
    • Maintain administrative supply inventory, order supplies, and supply usage by departmental faculty/staff/students to facilitate monthly billing. Prepare quarterly reports for supply billing and submit to business office.
    • Serve as Skype for Business meeting backup and provide support for conference room events.
    • Designated contact for copier operations. Maintain copiers, schedule maintenance/repair, and order copier supplies.
    • Supervise, give job assignments, approve timesheets, and oversee duties of student workers.


    Required Qualifications


    High school diploma or equivalent.
    Two (2) years (24 months) of work experience comparable to the third level of this series.

Broad knowledge of University policies, procedures and systems. Ability to communicate effectively with others. Solid interpersonal skills and professional acumen. Ability to work harmoniously with faculty, staff, and students from a wide variety of disciplines. Discretion and ability to communicate with different constituencies in different contexts both in person and in writing. Awareness of, and sensitivity to cultural and linguistic differences. Commitment to diversity and inclusion. Specialized computer knowledge including Microsoft Office, Adobe Acrobat, Webpage maintenance, and Database applications. Ability to successfully coordinate, manage projects, and prioritize among competing demands. Firm sense of responsibility, confidentiality, and good attendance. Attention to detail and accuracy. Ability to effectively multi-task by handling multiple projects simultaneously and meet concurrent deadlines. Great organizational skills. Ability to remain calm and productive in a busy work environment with frequent interruptions. Ability to be self-motivated, prioritize tasks, and exercise good judgment. Ability to maintain confidentiality in all business matters. Flexibility to adjust to changes in response to the needs of the School.

    Appointment Information
    This is a 100% full-time Civil Service 3266 - Office Manager position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. Salary is commensurate with experience.
