Pothitakis Law Firm is seeking a highly-motivated, enthusiastic Legal Administrative Assistant, to perform administrative work requiring a high level of initiative, enthusiasm and independent judgment. This position serves as the first point of contact for our clients and visitors, providing a highly professional, welcoming and friendly atmosphere. This position provides general office support, performs receptionist duties, and other duties as assigned. The successful candidate will be a self-starter with an efficient work methodology, excellent communication skills, and productive work qualities.
Essential Duties:
- Greet clients, determine their needs, and respond accordingly in a polite, prompt, and helpful manner.
- Responsible for the day-to-day office phone management.
- Schedules phone calls and appointments
- Sets up new client files
- Responsible for completing and updating client medical summaries
- Assists with office duties such as routing faxes, opening and distributing mail, copying documents, filing, scanning documents, closure of client files, assembling and sending out new client packets, distribution of quarterly statements, calling and/or emailing clients to remind them of upcoming appointments, and other administrative duties as assigned
- Maintains ACCESS database as well as other tracking databases
- Corresponds with clients through email, mail and texting
Qualifications:
- Experience in dealing with confidential and sensitive information.
- Ability to manage multiple high priority projects in a fast-paced environment requiring considerable coordination and follow-through.
- Experience in using initiative, strong organization skills, and attention to detail.
- Effective communication skills.
- Experience in a wide variety of administrative functions including scheduling, management of multi-line phone system, and operating basic office equipment such as a copier, scanner, computer, etc.
- Experience in developing and maintaining effective professional working relationships.
- Knowledge of medical terminology is helpful, but not required
- Must maintain reliable and punctual attendance.
- Minimum one-year previous office experience or similar education experience.
- Some college preferred.
Computer Skills:
Proficient in Windows, Microsoft Office Products, Excel, e-mail and internet.
