Job Summary
Provides administrative assistance and secretarial support to the Department Chairperson, faculty and adjunct faculty of the Department of Mathematics. The individual works closely with the Department Chairperson as a team member and will serve as a representative of the department to students and the college campus. The individual will be responsible for various secretarial duties including answering telephones, managing the chair’s calendar, maintaining budget records, preparing time sheets, book orders, and typing correspondence, teaching loads and schedules, course outlines, exams. Must be able to prioritize workload and deal with confidential information. Handles purchase requisition ordering and budget transfers for the department using the Colleague System. Must exhibit patience and sensitivity to students of diverse backgrounds, direct students to the appropriate faculty or department, and as needed, be able to assist students with problems. The Department Administrative Assistant at times will work independently while taking initiative in the preparation or completion of special projects. Have knowledge of the use of web conferencing tools, knowledge of online filing repositories such as shared drives and cloud services.
Qualifications - Education
Two year Associate degree or some credits towards an Associate degree and 1-2 years secretarial experience OR high school graduate and 3-4 years of secretarial experience.

Related experience as noted above preferably in a school or academic setting.
Qualifications - Skills
Excellent communication skills. Knowledge of Microsoft Office (Outlook, Word and Excel). Able to work under pressure, patient, diplomatic, polite and able to foster camaraderie among department members. Good phone skills and customer service skills. Attention to detail and must be self-motivated, must have sensitivity in handling confidential information; ability to keep accurate budgetary records. Familiarity with Ellucian Colleague and knowledge of the use of web conferencing tools, knowledge of online filing repositories would be a plus.
Work Hours
8:30 a.m. – 4:30 p.m. (Monday-Friday, maximum 35 hours/week)
