Job Duties
The Commonwealth Center for Children and Adolescents (CCCA) is seeking a full time Social Work and Admissions Administration Coordinator who will provide administrative support for the admissions and social work departments. This position will be responsible for coordinating with internal and external stakeholders to ensure smooth admissions and discharges, as well as database maintenance; preparing and submitting required reporting in a timely manner; ensuring up-to-date reference materials to document compliance with government and center requirements; and a wide variety of administrative support tasks that facilitate efficient operations for our admissions and social work departments.
This position will provide overall administrative assistance and support to the Social Work and Admission Director; prepare and disseminate documents to include copying, faxing, and mailing for social workers, admissions, and administrative staff as needed; serve on Center Information Management Committee as requested; serve as liaison between Center and Office of Reimbursement, providing copies of court orders, initial referral information forms, and face sheets as requested; and compile, categorize, calculate, tabulate, audit, and/verify information or data.
This position will also coordinate/communicate with Staunton J&DR Courts through providing accurate, effective, and timely communications; communicate with court officials, community providers, and legal guardians regarding court processes; assist admissions with admission forms and consents and meeting with legal guardian to sign admissions paperwork, either in person or by arrangement by fax in the community; and ensure that Joint Commission Standards are met by developing, implementing, and analyzing quality control measures for the Social Work and Admissions Department.

Minimum Qualifications
- high school diploma or equivalent
- prior experience as an administrative assistant, secretary, office manager, etc.
- exceptional computer proficiency, especially with word, data entry, into excel and databases, and willingness and ability to learn and become competent with new software systems
- ability to communicate effectively verbally and in writing with all levels of the organization, as well as external stakeholders and partners
- considerable knowledge of office practices and procedures
- proficient with gathering and interpreting data, researching logical conclusions, identifying strengths and weaknesses of alternative solutions, and presenting findings with recommendations to management
- ability to perform a wide variety of administrative support assignments in order to regulate and control office activities and document flow, through an understanding of the support process, and how it relates to programs and policies
- excellent time management skills
