BANQUET AND EVENTS OPERATIONS MANAGER

  • Job Summary: The Banquet and Events Operations Manager is responsible for overseeing all aspects of banquet operations. This includes active participation in the planning stages, event set up/tear down, organizing and executing the day of private events, banquets, business social meetings, and member related activities.

    Key Responsibilities:

    Logistics and Operational Management:

    • Act as the liaison between the client, event manager, chefs, servers, and attendants.
    • Attend and participate in all weekly BEO meetings.
    • Communicates scheduling needs of food and beverage service staff at all Team meetings.
    • Manage banquet staff, including hiring, training, and scheduling.
    • Support, manage, and supervise banquet staff performance.
    • Read event orders and execute each aspect with attention to detail.
    • Order rental equipment and create floor plans based on the needs of each event.
    • Execute all details as discussed at BEO meeting.
    • Accept deposits, close out events in EventPro and ensure all payments have been finalized.
    • Assists Special Events Manager with development of catering budgets; reviews all final financial reports and takes corrective actions as appropriate to help assure that budget goals are met each month.
    • Maintain accurate records and reports of banquet operations, including financial transactions and customer feedback.
    • Collaborate with other club departments, such as sales and marketing, to promote and sell banquet services.
    • Stay updated on industry trends and best practices in banquet operations and implement new ideas to enhance the club's offerings.
    • Critiques functions to determine future needs and to implement necessary changes for increased quality.
    • Attends management meetings to review policies and procedures, upcoming business and to continually develop quality and image of banquet and catering functions.
    • Tracks new products and trends in food service and catering applicable to the club.

    On-Site Event Execution:

    • Oversee the setup, registration, and coordination of activities on event day.
    • Present on site to greet clients at events and ensure proper set up and execution.
    • Act as the point of contact for clients, participants, and TMC departments and staff.
    • Address any issues or emergencies that may arise during the event.
    • Assumes responsibility of manager on duty (MOD) when necessary.
    • Ensures that proper housekeeping procedures are always followed.
    • Ensure compliance with all health and safety regulations and uphold high standards of cleanliness and sanitation.

    Post-Event:

    • Interact with the accounting department to ensure timely receipt of deposits and payments.
    • Collect feedback from clients and participants to assess event success.
    • Conduct post-event meetings with the Event Manager to discuss the event's success and areas for improvement.
    • Evaluate budget performance and identify areas for improvement.
    • Provide recommendations for future events.
    • Other job duties as assigned.

    QUALIFICATIONS:

    • Dynamic, enthusiastic, creative leader who thrives under pressure and is able to perform multiple functions and troubleshot when needed.
    • Must have proven selling, negotiating, prospecting and presentation skills. Highly developed customer service skills with strong attention to detail.
    • Ability to maintain financials for business booked and forecasted.
    • Thorough knowledge of food and beverage products, proper preparation and presentation of food and beverage items.
    • Proficient computer skills.
    • Requires coordinating skills to the extent of determining time, place, and sequence of operations to take place.
    • Must be able to work a flexible schedule including night, weekends, and holidays.
    • Bachelor’s Degree preferred; however, any combination of education and training within luxury hotel Catering, Sales, and Convention Services commensurate with this position description will also be considered.
    • Must have extensive knowledge of Food and Beverage etiquette, guest relations and service standards.
    • Five years’ experience in Catering Sales/Conference Management/Banquet Operations.
    • Maintains professional standards of dress and grooming which reflect a professional image.

    PHYSICAL, MENTAL, AND ENVIRONMENTAL DEMANDS:

    • Must be able to maneuver safely to all areas of the event venue and club facilities.
    • Must be able to lift up to 50 lbs.
    • Must have manual dexterity and coordination to operate event and office equipment.
    • Must be able to work at a fast pace and in stressful situations. Must be able to respond to visual and aural cues.
    • Must follow comply with Club Safety Policies.

    Education/Experience: The ideal candidate for this position should have proven experience as a Banquet Captain, Banquet Operations, Event Planning or similar role in a high-end restaurant, hotel, or private club setting. Strong knowledge of banquet operations, including event planning, food and beverage service, and staff management. Excellent communication and interpersonal skills to effectively interact with clients, staff, and vendors. Strong organizational and multitasking abilities to handle multiple events simultaneously. Ability to work under pressure and resolve any issues or conflicts that may arise during events. Proficiency in computer software, including MS Office and banquet management systems. Knowledge of health and safety regulations in the hospitality industry. Bachelor’s degree in hospitality management or a related field is preferred. Availability to work evenings, weekends, and holidays, as required by event schedules.

    Language/Communication: Ability to read and speak English is required to perform the duties of the job (e.g., the associates may be required to communicate with English speaking customers or co-workers, the manuals for the equipment the associates may use are in English). Must be able to work as part of a team and maintain open communication with managers and fellow coworkers. Maintain effective communication between all staff members regarding course operations and human resource issues Ability to respond to common inquiries or complaints from guests or members. Must display professional demeanor and always communicate in professional language.

    Certificates/Licenses/Safety Training: State accredited Alcohol Training Certification is required within 30 days of employment. California Manager Food Handlers Card required upon hire.

    • Ability to lift heavy objects and support event setup in a hands-on fashion.
    • Neat, clean, and business-like appearance at all times.
    • The banquet operations manager must have the following qualities: attention to detail, the ability to remain in constant communication with multiple departments, problem solving skills, and the ability to adapt to change easily. You must be able to communicate with guests and handle their requests immediately and with professionalism.
