    Our Position: We are currently seeking a Benefits Administrator for our corporate office located in Williamsville, NY to manage the administration of employee benefits. This position also involves:

    • Interpreting and processing employee benefit programs and information presentations
    • Administering various employee benefit programs, such as group life insurance, medical insurance, vision and dental insurance, disability insurance, retirement plan, flexible spending accounts, Health Reimbursement Account (HRA), etc
    • Maintaining employee records associated with all benefit plans
    • Managing and tracking all leave of absences

    Our Schedule: Mon-Fri 8:00am-4:30pm (40 hrs. per week)

    Our Requirements:

    • Bachelor’s Degree plus (2) years related experience with benefit & FMLA administration OR
    • Associate degree in Business plus (4) years full-time paid experience in the Human Resource field preferably in benefits administration or related field OR
    • High School or equivalent diploma plus (6) years full-time paid experience in the Human Resources field preferably in benefits administration or related field

    Position Summary:

    Under the direction of the Sr. Associate Director of Human Resources manages the administration of employee benefits. Shall perform complex duties while following established procedures in all areas of benefit administration. Responsible for interpreting and processing employee benefit programs and information presentations. Maintain employee records associated with all benefit plans. Manages and tracks all leave of absences. Position involves frequent contact and working knowledge of the benefits, policies, and procedures. Performs a variety of related duties as assigned.

    Reporting Relationship:

    Receives direct supervision from the Sr. Associate Director of Human Resources.

    Job Duties and Responsibilities:

    • Administers various employee benefit programs, such as group life insurance, medical insurance, vision and dental insurance, disability insurance, retirement plan, flexible spending accounts, Health Reimbursement Account (HRA), etc. Oversees all benefit related changes including new enrollments, COBRA coverage, terminations, changes, beneficiaries, disability and death claims. Processes QDRO's, loans, hardships, compliance notices.
    • Assists in the design, evaluation and modification of benefit policies to ensure that programs are sufficient, competitive and in compliance with legal requirements. Documents procedure manuals applicable to the Benefits area of Human Resources and updates regularly.
    • Explains and processes Workers Compensation and NYS Disability Insurance benefits. Communicates with appropriate supervisors to ensure necessary payroll paperwork is generated and required medical release and return to work slips are received. Communicates with and generate reports via the different carriers.
    • Notifies employees of approved employee initiated Family and Medical leave requests, Paid Family Leave and other leave requests. Responsible for notification of employer-initiated requests. Ensures necessary payroll and benefit related paperwork is generated. Tracks length of leave, etc.
    • Ensures that employee benefits are paid during leaves, whether it be through payroll deduction or submission by check.
    • Manage and conduct benefit informational/open enrollment sessions (i.e.: health/dental insurance, retirement, etc.) Schedule at multiple sites as needed.
    • Manage online enrollment process.
    • Reconciles invoices for various benefit plans: life insurance, health insurance, cafeteria plan, etc.
    • Responsible for accurate database record keeping and set-up in HR system with emphasis on benefit plans and is proficient in running and compiling queries and reports in the HRIS system.
    • Process terminations and sends COBRA paperwork. Processes and tracks COBRA payments.
    • Becomes knowledgeable in the ACA process.
    • Responds to employee inquires, communicates and interprets benefit plan provisions to employees.
    • Leads Agency Wellness program. Communicates and tracks annual Wellness requirements within the FitWorks platform as set forth by HWIC consortium. Manages annual Wellness event and prize budget.
    • Compiles data for statistical/census reports, completes monthly HR metrics.
    • Maintain accurate employee records associated with all benefit plans.
    • Works with various systems and runs reports used by Human Resources and other Agency systems such as bSwift, Relias, Precision Care, and Everbridge.
    • Responsible for the design and content of ADP Portal.
    • May complete Federal 5500 Forms for associated benefit plans.
    • Maintains complete confidentiality of all HR/PR information.
    • Responds to all employment inquiries regarding reference checks.
    • Responsible for employee discount coupons, ie., delta sonic, movie passes, etc.; to include ordering, processing requests, and completing monthly and quarterly audit.
    • Shall remain current on legislative changes affecting current or future benefits administration and conveys pertinent information to applicable team members as needed.
    • Responsible for file maintenance.
    • Assists with employee’s questions and problems courteously and promptly.
    • Performs miscellaneous clerical functions and special projects as assigned.

    Qualifications and Education Requirements:

    Bachelor’s Degree PLUS two years related experience with benefit and FMLA administration.

    OR

    Associate’s Degree in business PLUS four years full-time paid experience in the Human Resource field preferably in benefits administration and/or related field.

    OR

    High School or equivalency diploma PLUS six years full-time paid experience in the Human Resources field or preferably in benefits administration and/or related field.

    OR

    Equivalent combination of education and relative experience.

    • Mental Requirements:

    Ability to apply common sense understanding to carry out detailed but involved instructions and to deal with problems involving a few variables. Ability to perf01m very basic math skills including adding, subtraction, multiplying and dividing two digit numbers; to perform the four basic arithmetic operations with money. Ability to edit work for spelling and grammar and ability to interpret written information. Ability to alphabetize large volumes of files.

    • Human Relations Skills:

    Ability to communicate clearly in English with individuals and in a positive manner in both oral and written form; maintain effective working relations with agency personnel; ability to maintain confidentiality; remain open to others' ideas, must be able to work alone or with others. Ability to adapt to changes in the work environment, manage demands and able to deal with frequent change, delays or unexpected events. Must be dependable, consistently at work on time, follow instructions, respond to management direction and solicit feedback to improve performance. Ability to adhere to and maintain a professional demeanor and appearance at all times. Must be able to represent the Human Resource Department in a professional manner.

    • Equipment Operation:

    Ability to use common office equipment: telephone, computer, fax, copy machine, and camera, etc.
