Payroll Administrator

  • Location: EAC (Education and Administration Center) Recruiting Start Date: 04/05/2024 Estimated Start Date: 08/01/2024 The Payroll Administrator supervises and performs all payroll functions for the District as a member of the Business Services Department. The following statements are illustrative of the essential functions of the job and other key duties that may be required. Reports consistently for work as scheduled Performs other duties as assigned Attains proficient or higher evaluations on established Performance Standards Communication with other departments as it relates to the payroll process, Human Resources, Benefits, and Information Technology Team Delivers accurate and timely monthly payrolls Demonstrates ability to train, monitor and evaluate payroll office staff Develops and implements office procedures and methods to ensure the operational efficiency of the payroll office Develops and maintains various databases, reports, and office filing systems Ensures ongoing compliance with regulatory agencies Maintains accurate entries for payroll liabilities to be processed by accounts payable Maintains current information on staff salary, benefits, deductions and contributions Monitors all payroll staff to assure friendly, courteous and prompt customer service Participates in annual audit with Business Services Team and external auditing firm Plans, organizes, and coordinates the preparation of all district payrolls Prepares detailed payroll information returns (W2s, W2c, quarterly tax reports, etc.) Prepares payroll reports; state and federal reports; liability billing reports and other documents as requested Problem solves and initiates testing in software test environment Verifies calculations of substitute pay Knowledge, Skills, and Abilities Reports consistently for work as scheduled Performs other duties as required Ability to adapt to changing technologies and to learn functionality of new equipment and systems Ability to communicate effectively in English verbally and in writing Ability to create training materials and related documentation Ability to create, access, input, retrieve, and manipulate information in various software systems, including databases, spreadsheets, and accounting and budgeting software Ability to direct, plan, coordinate, and research a variety of problem-solving and fact-finding study projects to be presented in a variety of formats and to a variety of audiences Ability to establish and maintain accurate record keeping, document management, and filing systems Ability to establish and maintain effective working relationships with individuals from many diverse backgrounds and professions including supervisors, administrators, coworkers, staff, students, parents, and the general public Ability to follow oral and written instructions Ability to greet and interact with the public in a courteous and professional manner Ability to interpret/operate data base software; compile accurate and complete operating documentation; and effectively train other department members in its use Ability to maintain an accurate and readily accessible filing system Ability to maintain confidentiality Ability to operate standard office equipment, performing a wide range of supportive tasks Ability to supervise and direct the work of staff members Ability to supervise and evaluate others Ability to work days, hours, locations, and assignments as directed by the supervisor within the position responsibilities Ability to work independently without direct supervision Ability to work well with others and share knowledge in a team environment Commitment to the education of students as a primary responsibility Demonstrated ability to manage simultaneous demands and set clear priorities Demonstrates citizenship, compassion, courage, discernment, excellence, honesty, hope, integrity, patience, perseverance, reliability, respect, responsibility, and trustworthiness Detail-oriented Energetic, creative, innovative, flexible Excellent cooperative, collaborative, and problem-solving skills Interact efficiently with other departments and locations to resolve issues and document solutions Knowledge and skills necessary to perform all payroll accounting functions and to train other payroll staff Knowledge of and experience with an integrated fund accounting systems Knowledge of school-based processes and operations Knowledge of state laws, rules, and regulations governing budgetary and accounting aspects of Colorado public schools Proven experience in dealing with challenging situations Proven experience in making improvements to programs and processes Proven successful supervisory experience Strong mathematical and analytical skills Strong operating knowledge of and experience with Microsoft Office Suite and other office productivity applications Strong organizational, interpersonal, written, listening, and verbal communication skills Thorough knowledge of laws, rules, regulations, policies and procedures related to the district payroll functions and departmental functions Willingness to participate in ongoing training as required Work Environment: The work environment characteristics described here are representative of those a staff member typically encounters while performing the essential functions of this job. Required Qualifications: Bachelor's (Baccalaureate) degree (e.g., B.A., A.B., B.S.) 5 Years Payroll Experience 3-5 Years Supervisory Experience Preferred Qualifications: Master’s degree (e.g., M.A., M.S., M.Eng., M.Ed., M.S.W, M.B.A., M.L.S.)
