  • Overview

    As a Benefits Leave Administrator for QuickChek, your key responsibilities are monitoring, coordinating, and administering all leave of absences and short-term disability claims. She/he will partner with site coordinators, third party administrators, legal counsel, employees, agencies, vendors, and others to ensure the smooth execution of the leave and disability management processes. The Leave Administrator ensures all leaves of absence are in compliance with federal and state laws. The successful candidate will administer and communicate leave decisions, status and duration including FMLA notification, certification and tracking to all stakeholders. Provide specialized customer service support to associates and management regarding all aspects of leave administration and disability claim status.

    Responsibilities

    • Ensures third-party administrator accuracy, and audits leave reporting as necessary. 
    • Change status of employees in the HRIS system.
    • Serves as the primary contact for managers and HR for all leaves of absence and disability cases (FMLA, disability, personal, military and supplemental leaves) in accordance with federal and state statutory requirements.
    • Coordinates the administration of the return from leave process, including applicable documentation for return to work.
    • Collects, reviews, and evaluates medical return to work documents and protects health information as required under HIPAA, and FMLA approval or denial for basic leaves.
    • Calculates and submits disability wages; partners with payroll to identify discrepancies and compensation accuracy.
    • Generates premium invoices for Leave claimants.
    • Serves as a primary contact for third-party administrators.
    • Provides clerical reporting on leaves and STD claims.
    • Produces accurate quarterly and annual state and federal leave reporting.
    • Coordinates status and communications with employees, vendors and stakeholders.
    • Transitions short-term disability claims to long-term disability.
    • Produces long term disability W-2’s.
    • Coordinates death claim processing with beneficiary and vendor.
    • Audits weekly Health Savings Account files and funds contributions timely.
    • Processes ACH benefit vendor invoices (Medical, dental, vision, FSA, voluntary.)
    • Maintain and fund accurate Flexible Spending Account files; prepare annual Non-discrimination testing.
    • Manages the new hire ACA eligibility process.
    • Responds to all calls and questions pertaining to any QC benefit program.
    • Conducts benefits orientations for SC new hires and new store locations.
    • Contributes to benefit education material creation and distribution.
    • Perform any other related duties as required or assigned.

    Qualifications

    To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

     

    • Knowledge of a specialized field (however acquired), such as basic accounting, computer, etc. Equivalent of four years in high school, plus night, trade extension, or correspondence school specialized training, equal to two years of college, plus 2 years related experience and/or training, or equivalent combination of education and experience.
    • Knowledge and understanding of applicable laws and regulations.

    • Knowledge and proficiency working with disability third party administrators.

    • Previous or current knowledge of HRIS platforms is preferred.
