The Billing Specialist is responsible for accurately and efficiently processing billing transactions and ensuring the timely collection of payments. They play a vital role in maintaining the financial health of the organization by ensuring accurate invoicing and adherence to billing policies and procedures. The Billing Specialist works closely with cross-functional teams to resolve billing discrepancies and provide excellent customer service.
Essential Job Functions
· Verify client insurance eligibility using online portals and obtain necessary authorizations as required.
· Maintain clear and professional communication with clients, insurance partners, and staff through various channels, including phone, email, face-to-face, and virtual meetings.
· Collaborate with clinical staff and insurance partners when necessary to ensure accurate and timely billing.
· Maintain accurate and up-to-date records in the agency's billing database, ensuring data integrity and compliance.
· Demonstrate proficiency in agency-specific electronic medical record (EMR) system, such as 10e11, to accurately document billing activities.
· Actively participate in agency and team meetings, contributing in a positive and productive manner.
· Maintain accurate and complete records of time worked and paid time off using Paychex or similar timekeeping systems.
· Willingly perform additional duties as assigned by Supervisor or Team Lead, demonstrating flexibility and adaptability.
· Adhere to the assigned work schedule, with exceptions handled in accordance with company policies and procedures.
· Comply with company policies and procedures, including privacy and security regulations related to protected health information.
· Adhere to the work-from-home policy, if applicable, and ensure a productive and secure remote work environment.
Additional Requirements:
· Significant knowledge of health care reimbursement methodologies, including understanding of Medicare, Medicaid, and commercial insurance billing practices.
· Strong customer service skills, with the ability to handle inquiries and concerns from clients, insurance partners, and staff in a professional and courteous manner.
· Excellent verbal and written communication skills, with the ability to effectively convey complex billing concepts and resolve issues through clear and concise communication.
· Detail-oriented, with a keen eye for accuracy in reviewing billing data, verifying insurance information, and documenting billing activities.
· Excellent organization and time-management skills to manage a heavy workload, prioritize tasks, and meet deadlines while maintaining a high level of accuracy.
· Familiarity with electronic health record (EHR) systems, including experience in navigating and utilizing billing modules within the system.
· Proficient user of Microsoft Outlook, Excel, and Word, with the ability to generate reports, perform data analysis, and effectively utilize office productivity tools.
· Familiarity with electronic health record systems, such as 10e11, to efficiently manage billing data and documentation within the system.
Knowledge, Skills and Abilities
Language Skills: Read, write and interpret documents such as policies and procedures, client records, health documentation, invoices, etc.
Mathematical Skills: Must add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals; must apply ratio, percent, and probability and estimation concepts.
Customer Service Ability: Problem solving, cognitive and interpersonal written and verbal skills to address client/staff questions and concerns, or adverse situations/issues in a professional, accurate and courteous manner.
Computer Skills: Must have intermediate skills and ability to use standard Microsoft Office programs such as Word and Excel, including familiarity with spreadsheets and electronic medical record databases.

Qualifications
HS diploma or equivalent, required; Associate’s degree in business, health care administration or related area or at least two (2) years’ experience in directly related field preferred. Must possess a valid driver’s license and personal transportation. This position is subject to a criminal background clearance, lab screen, and finger printing.
