Job Title: Accounting Logistics Billing Specialist

Position Overview:
The Accounting Logistics Billing Specialist will be responsible for managing the financial transactions related to our logistics and billing processes. This role requires meticulous attention to detail, strong organizational skills, and the ability to collaborate effectively with various teams within the organization.

Key Responsibilities:

• Billing and Invoicing:
• Generate accurate invoices for products/services rendered to clients based on agreed-upon terms and contracts.
• Ensure timely delivery of invoices to customers and follow up on any outstanding payments.
• Process billing adjustments, refunds, and credits as necessary.
• Logistics Coordination:
• Collaborate with the logistics team to ensure accurate and timely processing of shipments and deliveries.
• Verify shipping documents and reconcile them with sales orders to ensure accuracy in billing.
• Coordinate with third-party logistics providers to resolve any discrepancies or issues related to shipments.
• Accounts Receivable Management:
• Monitor accounts receivable aging reports and follow up on overdue payments.
• Communicate effectively with customers regarding payment inquiries, discrepancies, and payment arrangements.
• Work closely with the finance team to reconcile payments and resolve any discrepancies.
• Financial Reporting:
• Prepare regular financial reports related to billing, invoicing, and accounts receivable for management review.
• Analyze billing and receivable data to identify trends, discrepancies, and opportunities for process improvement.
• Assist in the preparation of month-end and year-end financial close activities related to logistics and billing.
• Compliance and Documentation:
• Ensure compliance with company policies, accounting standards, and regulatory requirements related to billing and invoicing.
• Maintain accurate and up-to-date documentation of billing processes, procedures, and customer agreements.
• Assist in internal and external audits by providing relevant documentation and supporting information.

Qualifications:

• Proven experience (3 years) in accounting, billing, or finance roles, preferably in a logistics or supply chain environment.
• Proficiency in accounting software (e.g., QuickBooks, SAP, NetSuite) and Microsoft Excel.
• Strong analytical skills with the ability to interpret financial data and identify trends.
• Excellent communication skills, both verbal and written, with a customer service-oriented approach.
• Detail-oriented with a high level of accuracy and the ability to meet deadlines in a fast-paced environment.
• Ability to work collaboratively in a cross-functional team and adapt to changing priorities.
