The Child Care Billing Administrator plays a pivotal role in ensuring the efficient and accurate processing of billing activities within our child care facility.

This position requires strong organizational skills, attention to detail, and a thorough understanding of billing procedures and regulations in the child care industry.

ESSENTIAL FUNCTIONS :

• Serve as a role model to members and Y staff and, at all times live the mission, vision and values of the YMCA movement and demonstrates professionalism in executing tasks.
• Manage the end-to-end billing process for child care services provided by the facility, including generating invoices, accurately recording charges, and applying payments.
• Serve as the primary point of contact for parents / guardians regarding billing inquiries, discrepancies, and payment arrangements.

Communicate billing policies and procedures clearly and professionally.

Maintain accurate records of fee structures, including tuition rates, discounts, subsidies, and any additional charges.

Ensure that billing reflects the correct fee schedule for each child enrolled.

• Timely submission of all CCFS program billings to include but not limited to, parent pay bank draft, 3rd party DHS and any other specialized billing.
• Collaborate with third-party payers, such as government agencies or insurance providers, to process payments and manage reimbursement claims.

Ensure compliance with relevant regulations and documentation requirements.

• Complete CACFP Monthly submission and coordination of Annual renewal process.
• Generate regular reports on billing activities, receivables, and outstanding balances. Maintain comprehensive and organized records of billing transactions, payments, and client accounts.

Ensure confidentiality and accuracy in all financial data.

• Process child care program registrations utilizing Camp Docs and accounting software.
• Manage Child Care and summer program packets and records utilizing Camp Docs.
• Complete accounting functions as necessary to ensure smooth operation of the CCFS branch.
• Perform general clerical duties (copy, fax, filing, etc.) as needed for operation of CCFS branch.
• Maintain monthly reporting to departments and CFO.
• Participate in the annual budget process for child care program areas and provide data as requested.

EDUCATION AND EXPERIENCE REQUIREMENTS :

• Previous experience in billing, accounting, or financial administration, preferably in a child care or similar setting.
• Strong attention to detail and accuracy in data entry and record-keeping.
• Excellent communication and interpersonal skills, with the ability to interact professionally with parents / guardians and internal stakeholders.
• Ability to work independently, prioritize tasks effectively, and meet deadlines in a fast-paced environment.
• Knowledge of relevant regulations and compliance requirements in the child care industry.
• Requires minimum of an Associate's degree or equivalent years of experience in billing and office management, Bachelor's degree is preferred.

CERTIFICATIONS AND OTHER QUALIFICATIONS :

• Must be able to pass background check per state of IA child care regulations.
